Choosing Contact Center Software for a BPO

A buying checklist for BPO operators: tenant isolation, white-label, per-tenant roles, BYOC, languages, compliance-supporting controls, per-client reports.

A BPO buys different software from an in-house contact centre. An in-house contact centre buys a phone system. A BPO buys a platform it will resell, defend in a client audit, and onboard a new client onto in a week. Those are different purchases, and most feature comparisons are written for the first one.

This checklist is written for the second. It is aimed at BPO and outsourcing operators in the Gulf and the Levant who run several clients on one platform, often in more than one language and more than one jurisdiction. Each section ends with the question to put to a vendor, and the answer DialerBee gives today.

Isolation comes before features

Every multi-tenant claim sounds the same in a demo. The difference shows in where the separation is enforced. Interface-level filtering means one missing condition in one screen can expose another client's rows. Row-level isolation means the separation is enforced inside every service, so a missing filter cannot leak data.

In DialerBee, tenant isolation is enforced at the row level in every service. Channel secrets, such as a client's WhatsApp or carrier credentials, are encrypted per tenant rather than under one shared key. Partner admins see only the tenants they own, so a reseller's view stops at their own book of business, and a platform admin who impersonates a user to reproduce a problem leaves an audit record of the impersonation.

White-label, if your brand is the product

For most BPOs the client should see your name, not your supplier's. That means more than a logo slot. DialerBee provides 30 branding fields, a colour scale with contrast validation so a brand palette cannot make small text unreadable on a dense agent screen, and uploads for the logo, the favicon and the background, with a live preview while you set them.

The platform runs on your own domain once you verify it with a DNS TXT record you place, and a public branding endpoint serves your branding before sign-in, so the login page is already yours. Tenants created by a partner admin belong to that partner admin. A six-step onboarding wizard takes a new client from nothing to a working tenant, and two of those steps matter more than the rest: each tenant gets its own extension range and its own caller IDs, because platform defaults collide when two tenants share them and a shared trunk is not a caller ID.

Access, roles and the audit trail

A client's security review will ask who can see what and how you prove it. Roles as fixed labels are not enough when one platform carries several clients with different rules.

DialerBee gives each tenant a role matrix of 11 permission categories and 41 permissions with one column per role, across platform admin, partner admin, admin, supervisor, team lead, agent and booking viewer. A per-tenant audit log records the action, the user and the IP address it came from. API keys are hashed at rest and scoped to their tenant, so a key cannot reach another tenant's data and cannot be read back out of the platform.

Two answers are worth having in writing before a security review rather than during one. Single sign-on is on the roadmap; today access is per-user with role permissions and API keys. Multi-factor login is planned, and today login is protected by rate limiting with password reset and recovery flows.

Carrier and numbers, per client

Different clients arrive with different carrier contracts, and a platform that forces its own bundled telecom takes that flexibility away and a share of your margin with it.

BYOC lets you connect your own SIP trunks per client, with routing rules by destination prefix, cost, quality score, load balancing or time of day, and automatic failover to a backup trunk when quality drops below the threshold you set. Each tenant gets isolated trunk configuration, billing and reporting, along with its own caller-ID pools, rotation rules and daily caps per number, so one client's number strategy cannot affect another's.

Ask the vendor: can client A dial on their carrier while client B dials on mine, in the same platform, on the same day.

Languages, channels and the export nobody checks

A BPO sells coverage. DialerBee runs in 11 languages, including Arabic with right-to-left rendering, across the interface and the AI features. WhatsApp Business is configured per tenant and stored encrypted, SMS goes out under your own sender IDs, and segmentation is GSM-7 and UCS-2 aware, so an Arabic message is counted correctly rather than estimated as if it were Latin text.

Then check the export, which is where multilingual platforms usually fall over. Disposition reports export to Excel and PDF with Arabic rendered correctly. A right-to-left report that arrives as boxes is not a report, and you will find out in front of a client.

Compliance-supporting controls and per-client reporting

You are not buying compliance, you are buying the controls that let you implement each client's obligations and evidence them. Calling windows, consent and opt-out state, do-not-call suppression and recording retention need to be configurable per client, because two clients in two jurisdictions will not share a rulebook.

On the reporting side, 15 report types cover campaigns, agents, calls, queues, cost, quality, compliance and conversion, including Compliance Audit, DNC Compliance, Abandoned Calls and CDR. Each exports as CSV, Excel or a PDF carrying your tenant branding, which is the format a client actually receives. Billing and usage exports track minutes, calls, seats and storage per client for invoicing, and AI usage is metered and billed per tenant so the AI one client consumed is attributable to that client.

One limit to plan around: agent activity and utilisation reports today; forecasting and scheduling are planned.
