AI Appointment Setter That Books Appointments by Phone

An AI voice agent that takes the booking on the call: it checks your real calendar, respects your services and capacity, says "booked" only when the booking is saved, and sends the confirmation and reminders afterwards. When a caller needs a person, it hands them to your team.

Quick answer

How does an AI appointment setter book by phone? DialerBee's AI voice agent answers the call, matches the request to a service in your catalogue, checks free-busy on Google Calendar or Microsoft 365, and books, reschedules or cancels during the call. Capacity rules refuse a full slot, and it says "booked" only after the booking is saved. Confirmations and reminders follow by SMS, WhatsApp or email. It costs $0.60 per started connected minute on managed AI, plus a $129 Professional seat.

End to end

How does AI book an appointment over the phone?

Some phone tools take a message, or text the caller a booking link. Here is what happens when the booking is made on the call itself, in order.

  1. 1

    The call reaches the agent

A number in your DID inventory is routed to the AI voice agent, the same way it could be routed to a queue or an IVR flow. The caller hears your greeting, not a menu.

  2. 2

    It works out which service

The service catalogue holds each service's duration, the resources it needs and its price. That is how the agent knows a colour takes longer than a trim, and it can only quote prices that are in the catalogue.

  3. 3

    It checks free-busy

Before offering a time, the agent checks free-busy on the connected Google Calendar or Microsoft 365 calendar: the shared organisation calendar and, if connected, the staff member's own.

  4. 4

    Capacity rules apply

Capacity rules are enforced at booking time. If the service is full for that slot, the booking is refused, and the agent offers another time instead of double-booking.

  5. 5

    It books, then says so

The booking is saved and the event is created on the calendar. The agent only tells the caller the appointment is booked once the system has returned a confirmation.

  6. 6

    The confirmation goes out

A follow-up can go by SMS or WhatsApp after the call. Reminders then go out on your policy over SMS, WhatsApp and email, with an ICS attachment so the slot lands in the customer's own calendar.

  7. 7

Changes later are handled the same way

A caller who rings back to move or cancel gets the same checks. A move updates the existing calendar event; a cancellation cancels it, so the freed slot is bookable again.

  8. 8

    Every call leaves a record

The recording, the transcript and the outcome are pushed to your CRM, so the AI call sits in the same customer history as calls your team takes.

The diary behind these steps is the appointments portal, connected to Google Calendar or Microsoft 365.

Listen

What does an AI booking call sound like?

AI voice agent demo — simulated caller. Layla's replies come from the production model; the callers are synthetic voices and the businesses are fictional.

The booking call

Salon booking in Jordanian Arabic

AI voice agent demo — simulated caller · Arabic (Jordanian) · inbound · 49 seconds

The caller asks to book, Layla asks which service and when, then reads the request back: a haircut with a blow-dry, next Thursday at four in the afternoon.

Listen to the last line. Layla says the team will check the booking and confirm it; she does not say it is booked. That is the rule this page is about: the agent announces a booking only once the system has confirmed it.

Accuracy

How do you stop an AI booking the wrong slot?

A booking mistake costs more than a missed call: a customer arrives for a slot that does not exist. These are the checks between the caller's request and the word "booked".

Free-busy first

The connected calendar is checked before a time is offered, including the staff member's own calendar when it is connected.

Service catalogue

Duration, required resources and price come from the catalogue, so a 90-minute service is not squeezed into a 30-minute gap.

Capacity rules

Enforced at booking time. A full service refuses the booking rather than accepting it and leaving your team to sort it out.

Confirmed before spoken

Actions such as a booking must return a confirming status before the agent tells the caller it is done.

Change notifications from Google Calendar and Microsoft 365 bring back edits your team makes directly in the calendar, so the two diaries do not drift apart between checks.

After the booking

Can AI confirm and remind customers before the appointment?

Written confirmations and reminders

After the call the agent can send a follow-up by SMS or WhatsApp. Reminders then go out over SMS, WhatsApp and email on a reminder policy you set once, and you can send one immediately from the appointment when something changes. Each reminder can carry an ICS attachment, so the appointment lands in the customer's own calendar with one tap. A messages-sent report shows what actually left, channel by channel.

AI reminder and confirmation calls

Run the AI voice agent as an outbound campaign against a contact list, using the same list and pacing tools as your human campaigns. The agent reminds, asks the customer to confirm, and handles a request to move the slot.

AI callbacks

When a caller asks to be called back, the AI agent can place that callback itself, so the promise is kept without tying up a member of staff.

A simpler press-1 reminder dialer

If you do not need conversation, the appointment reminder dialer plays a reminder with a press-1 confirm, reschedule or opt-out menu built in the IVR builder, and leaves a voicemail when answering-machine detection finds one.

Comparing the two outbound options? See the appointment reminder dialer, or the full pacing and mode picture on auto dialer software. Outbound calling is subject to the consent, calling-hours and do-not-call rules where your customers live; DialerBee provides compliance-supporting controls, not legal advice.

No-shows

Does AI appointment booking reduce no-shows?

It can help, because every booking gets a written confirmation and reminders go out on schedule instead of when someone has time. But we do not publish a no-show figure, because your result depends on your customers, your services and your reminder timing. A number measured in someone else's business tells you little about yours.

Measure your own instead. It takes one sheet and eight weeks.

A simple before-and-after test

  1. For four weeks before launch, count booked appointments and no-shows per week. No-show rate = no-shows ÷ booked appointments.
  2. Launch with your reminder policy set: for example, a reminder the day before and the morning of.
  3. Count the same way for four weeks after, from the booking reports.
  4. For every no-show, check the messages-sent report: did the reminder actually leave? A no-show who never got a reminder is a different problem from one who ignored it.
  5. Compare like with like: the same weekdays, and no holiday weeks on one side only.

Keep a booking page if…

most of your customers already book online and rarely call. A booking page is cheap and works well for them. An AI setter is for the people who still pick up the phone.

Keep a receptionist if…

your calls are mostly complex, sensitive or high-value. Many businesses use both: the AI takes routine bookings and your receptionist takes the calls that need judgement.

An answering service fits if…

you only need messages taken and are happy to call people back. If the goal is a booking on the first call, it leaves that work to you.

Human handoff

What if the caller needs a person?

The agent hands the call to your team, and that is a designed branch of the conversation rather than a failure. Decide before launch which calls go straight to a person: complaints, emergencies, anything needing medical, legal or financial advice, and any caller who asks for a human.

On the other side of the handoff is a full inbound contact center: queues that route by FIFO, round-robin or longest-idle, with supervisors able to listen, whisper or barge in. More in our guide to AI voice agent handoff.

Multilingual

Can it book in Arabic and other languages?

Yes, in 11 languages: English, Arabic, Spanish, French, German, Italian, Turkish, Hindi, Urdu, Portuguese and Indonesian. Arabic is handled as dialects, including Gulf, Levantine and Egyptian, so a caller in Amman and a caller in Dubai both hear something that sounds local.

The voice is Layla, a female voice, and callers can interrupt mid-sentence. Before going live, place a test call from Agent Studio in the dialect your customers actually speak, and book, move and cancel a real slot.

Pricing

How much does an AI appointment setter cost per month?

The AI voice agent is $0.60 per started connected minute on managed AI, added to a Professional plan at $129 per agent per month (or Enterprise). Here is a clinic-sized month with inbound booking calls and outbound AI reminder calls:

Inbound booking calls

400 × 2 min = 800 min

AI reminder calls

300 × 1 min = 300 min

AI minutes

1,100 × $0.60 = $660

1 Professional seat

$129

Total a month

$789

  • Billing is per started connected minute, so a 44-second reminder call counts as 1 minute and a 2-minute-10-second booking call as 3. Keep calls short and focused.
  • The seat is for the person who takes handoffs and manages the diary. The AI minutes above cover the calls only.
  • Carrier minutes are billed by your carrier. Taxes are excluded and the seat is shown at the monthly price; annual billing saves 20% on the plan.
  • With your own model keys, a flat monthly fee replaces the per-minute AI rate; ask sales for it.

An example, not a quote. See pricing or try your own numbers in the AI receptionist ROI calculator.

How do you set up AI appointment booking?

  1. 1 Load your services into the catalogue with duration, resources and price, and set capacity rules.
  2. 2 Connect Google Calendar or Microsoft 365 at organisation scope, and each staff member's own calendar if they keep one.
  3. 3 In Agent Studio, set the persona, upload your knowledge base, write the handoff rules and set the reminder policy.
  4. 4 Route a number to the agent. We can set the number up for you, or you can connect your own SIP trunk or PBX.
  5. 5 Place test calls: book, move and cancel real slots, ask for a person, then check the calendar and the CRM.
  6. 6 Go live with kill switches ready: stop one agent, one campaign or all AI calling from the console.

Questions

AI appointment booking FAQ

What is an AI appointment setter?
An AI appointment setter is a voice agent that books appointments over the phone without a person on your side of the call. On DialerBee it is the AI voice agent, Layla: it answers a number routed to it or calls a contact list, checks free-busy on your Google Calendar or Microsoft 365 calendar, and books, reschedules or cancels during the call. Calls that need a person are handed to your team.
Can AI book appointments by phone directly into my calendar?
Yes. DialerBee connects to Google Calendar and Microsoft 365 over OAuth, at organisation scope and per staff member. The agent checks free-busy before offering a time, the event is created when the booking is saved, updated when it moves and cancelled when it is called off. Change notifications bring back edits made in the calendar itself.
How does it avoid double-booking or promising a slot that is gone?
Three checks. Free-busy is read before a time is offered. Capacity rules on the service catalogue refuse a booking when the service is full. And the agent only says an appointment is booked once the system has confirmed the booking was saved, so a failed booking is not announced as a success.
Can it call customers to confirm or remind them?
Yes. The AI voice agent can run as an outbound campaign against a contact list, so it can call to remind, ask for a confirmation and take a request to move the slot. It can also place AI callbacks. Written reminders go out over SMS, WhatsApp and email on your reminder policy, with an ICS attachment.
Will an AI appointment setter reduce no-shows?
It may, but we do not publish a figure, and you should be wary of anyone who quotes one for your business. Measure it yourself: record your no-show rate for four weeks before launch and four weeks after, and use the messages-sent report to check whether reminders actually went out to the people who missed.
How much does AI appointment booking cost?
The AI voice agent is $0.60 per started connected minute on managed AI, added to a Professional plan at $129 per agent per month or to Enterprise. For example, 400 booking calls at 2 minutes plus 300 reminder calls at 1 minute is 1,100 minutes, or $660, plus one seat: $789 a month. Carrier minutes are billed by your carrier.
Which languages can it book in?
11: English, Arabic, Spanish, French, German, Italian, Turkish, Hindi, Urdu, Portuguese and Indonesian. Arabic is handled as dialects, including Gulf, Levantine and Egyptian, rather than as one flattened language. Reminder templates are written by you, in whichever language your customers read.
What happens when the caller needs a person?
The agent hands the call to your team. Handoff is a designed branch of the conversation, not a failure. Your staff take it in inbound queues that route by FIFO, round-robin or longest-idle, and complaints, emergencies and anything needing advice should go to a person from the start.
