The appointments portal runs on a service catalogue rather than on free text. Each service has a duration, the resources it needs and its price, so an hour-long treatment that occupies a room is not booked as though it were a fifteen-minute call.
Capacity rules are enforced at the moment of booking. When a service is full, the booking is refused. That is a small decision that removes the largest recurring argument in an appointment business.

Reminders go out over SMS, WhatsApp and email on the policy you set, so nobody has to remember to send them, and one can be sent immediately from the appointment when something changes. An ICS attachment puts the appointment in the customer's own calendar with one tap.
