AI receptionist ROI calculator

Every unanswered call is a booking that may go to a competitor. Enter your call volume, how many calls you miss and what a booking is worth, and see what answering those calls could recover each month, what the AI minutes would cost and where you break even.

Quick answer

Is an AI receptionist worth it? Work it out from three numbers: the calls you miss today (busy lines plus after-hours calls), the share of those callers who would book if someone answered, and the average value of a booking. Multiply them to get the potential monthly value, then subtract the AI cost, which is the AI minutes used multiplied by your per-minute rate. The break-even point is the AI cost divided by the value of one booking. This calculator does the arithmetic; treat the result as a scenario estimate and confirm it in a pilot.

How this calculator works

Missed calls per month are the business-hours calls multiplied by the missed share, plus after-hours calls, times the open days. Potential bookings are those calls multiplied by the share that would book if answered, and the potential value multiplies bookings by the average booking value. AI minutes are the answered calls multiplied by the average call length, and the AI cost multiplies minutes by your per-minute rate. Break-even is the AI cost divided by the average booking value, rounded up.

All results are scenario estimates based only on the numbers you enter. They are not a forecast, a quote or a guarantee of revenue. The default AI cost per minute is DialerBee's $0.60 managed AI rate. Telephony, platform seats and setup are not included. See the AI receptionist page for what it handles and the pricing page for plans.

FAQ

AI receptionist ROI questions

How do I calculate the ROI of an AI receptionist?
Count the calls you miss today (busy lines during business hours plus calls after hours), multiply by the share that would turn into a booking if answered, and multiply by the average booking value. Compare that potential value with the AI cost, which is the AI minutes used multiplied by your per-minute rate. The break-even point is the AI cost divided by the average booking value.
Are the results of this calculator guaranteed?
No. Every output is a scenario estimate based on the numbers you enter. Real results depend on how many missed callers would actually book, how well the AI receptionist is configured, and your follow-up process. Use it to size the opportunity, then confirm it in a pilot.
What should I enter for the AI cost per minute?
The default is DialerBee's AI voice agent rate: $0.60 per minute on managed AI. If you are comparing another provider, enter the per-minute rate from their quote. With your own model keys, DialerBee charges a flat monthly fee instead; contact sales for it.
Does an AI receptionist replace front-desk staff?
Usually not. It answers the calls staff cannot take: busy lines, breaks and after-hours. It handles routine questions and bookings, and hands complex or sensitive calls to a person. Many businesses use it to stop losing calls rather than to reduce headcount.
Which calls should not be handled by an AI receptionist?
Calls that need judgement or empathy, such as complaints, emergencies or distressed callers, calls involving sensitive regulated data, and negotiations are usually better handled by people. Our AI receptionist readiness assessment helps you check which of your calls are a good fit.
