What Is an AI Receptionist? Definition and How It Works

An AI receptionist answers business calls, answers questions, books appointments and hands callers to staff. How it works, its limits and how it compares.

Quick answer

An AI receptionist is software that answers a business phone number and talks with callers in natural speech. It understands what they ask, answers from the business's own information, books or changes appointments in a connected calendar, sends a confirmation, and hands the call to a person when it needs judgement. It is a type of AI voice agent.

The phrase covers a narrow, useful idea: the front-desk part of the phone, done by software. It is not a menu (that is an IVR), and it is not a person working remotely (that is a virtual receptionist or an answering service). It sits between them. Like a menu it is always available; like a person it understands a request said in the caller's own words and can finish the task.

Under the hood it is an AI voice agent given one job. Speech recognition turns the caller's words into text, a language model decides what to say or do next within limits you set, and a synthetic voice speaks the reply. What makes it a receptionist rather than a chatbot with a voice is what it is connected to: your phone number, your calendar, your documents and your team.

How does an AI receptionist work?

A typical call follows the same path, whichever vendor you use:

  1. The number rings. A business number is routed to the AI instead of, or before, a person. In DialerBee, a number in your DID inventory is pointed at the AI voice agent the same way it would be pointed at a queue or an IVR flow.
  2. The AI answers. The caller hears a greeting from the persona you configured, not "press 1 for…".
  3. It understands the request. The caller says what they want in their own words and can interrupt; the agent asks for anything missing, such as a date or a name.
  4. It checks your information. Questions are answered from documents you supply (hours, services, policies, directions). For bookings it checks availability in the connected calendar.
  5. It books or answers. It makes, moves or cancels the appointment, or answers the question, within the scope you allowed.
  6. It hands off when needed. If the caller asks for a person, or the call is outside its scope, it passes the call to your team.
  7. It follows up. A confirmation or reminder goes out by text message, for example SMS or WhatsApp.
  8. It records the result. The call leaves a record: recording, transcript and outcome, ideally in the same customer history your staff use.

Step-by-step setup is covered in how to set up an AI receptionist.

What can an AI receptionist do, and what can't it?

It is good at calls where the right answer already exists in your diary or your documents:

  • Booking, rescheduling and cancelling appointments
  • Opening hours, prices, services, directions and "what should I bring" questions
  • Reminders and confirmations
  • Answering when your team is busy, on another call or closed
  • Getting the caller to the right person

It should not be left alone with:

  • Emergencies, which belong with a person or the emergency services
  • An angry or upset caller, a complaint or a payment dispute
  • Medical, legal or financial advice of any kind
  • Bereavement, bad news or a frightened caller
  • Anything your own policy says a person must handle

The real risk is not that an AI receptionist sounds robotic; it is that it says something untrue with confidence. A price it invented or a booking it never made is a promise the business has to keep. Judge any product by what it is prevented from doing. DialerBee's, for example, can only speak prices that are in your service catalogue, and only confirms a booking once the system has confirmed it. How much does an AI receptionist cost?

Most products charge per minute, per call or a flat monthly fee, and the cheapest headline price is not always the cheapest per call answered. Our AI receptionist cost guide compares the models with worked examples. On DialerBee the AI receptionist is billed at $0.60 per started connected minute on managed AI, on a Professional or Enterprise plan; see pricing.

Which businesses use an AI receptionist?

Any business whose phone mostly rings with the same few requests, and whose staff are often busy with the customer in front of them:

  • Salons and spas: bookings and changes taken while stylists are with a client.
  • Clinics: appointment booking, opening hours and practical questions, with anything clinical handed to staff.
  • Real estate: enquiries answered and viewings booked when agents are out.
  • Home services and trades: job requests captured and slots offered while the team is on site.
  • Hospitality: reservations and routine questions at busy times.

The pattern is the same: high volume of predictable calls, a calendar behind them, and a person available for the exceptions. See the DialerBee AI receptionist for how this runs inside a full contact center with queues, an agent desktop, and WhatsApp and SMS behind it.

Frequently Asked Questions

What does an AI receptionist do?

It answers a business phone number, understands what the caller wants in their own words, and handles the routine front-desk work: answering common questions, booking, moving or cancelling appointments, sending a confirmation, and passing the caller to a person when the call needs one.

Is an AI receptionist the same as a virtual receptionist?

Not always. "Virtual receptionist" usually means a remote human who answers your calls, though some vendors use it for software too. An AI receptionist is software: no person is on the line unless the call is handed to one.

How is an AI receptionist different from an IVR?

An IVR plays a menu and routes the caller by keypress or a short spoken command. An AI receptionist holds a conversation: the caller says what they need, can interrupt, and the agent can complete the task itself, such as booking into the calendar, rather than only routing the call.

Can an AI receptionist book appointments?

A good one can, if it is connected to your calendar. DialerBee's checks free-busy on a connected Google Calendar or Microsoft 365 calendar, then books, reschedules or cancels during the call, and only tells the caller the booking is made once the system has confirmed it.

Will callers know they are talking to an AI?

Many will, and that is fine. What callers object to is a system that cannot help them or will not let them reach a person. Be open that it is an automated assistant, keep it to calls it can finish, and make the route to a human easy to find.

What should an AI receptionist never handle?

Emergencies, complaints from an upset caller, payment disputes, medical, legal or financial advice, and emotionally sensitive calls. Those should go to a person, and any caller who asks for a person should get one.

How much does an AI receptionist cost?

Pricing models vary: per minute, per call or a flat monthly plan. On DialerBee it is the AI voice agent at $0.60 per started connected minute on managed AI, added to a Professional ($129 per agent per month) or Enterprise plan; carrier minutes are billed by your carrier. Our AI receptionist cost guide works through the numbers.

Does an AI receptionist work in Arabic?

It depends on the product. DialerBee's handles Arabic as dialects, including Gulf, Levantine and Egyptian, rather than as one flattened language, and works in 11 languages in total.
