AI Receptionist for Real Estate Agents & Property Managers

Your agents are in viewings, driving between them or asleep when the next buyer calls. An AI receptionist answers the listing number, answers from your own documents, books the viewing into the right calendar and hands the caller to a person when the conversation is about money, contracts or an emergency.

Quick answer

What is an AI receptionist for real estate? It is an AI voice agent that answers your listing and office numbers, answers property questions from documents you upload, asks your qualifying questions, books viewings into your agents' Google or Microsoft 365 calendars and follows up by WhatsApp or SMS. Tenant repair requests are taken and logged; emergencies, offers and contracts go to a person. On DialerBee it speaks Arabic dialects and English, at $0.60 per started connected minute plus a Professional seat.

Speed to lead

Why does answering the first call matter so much in real estate?

Because buyers and sellers rarely shop around for long. In the US, the National Association of REALTORS® 2024 Profile of Home Buyers and Sellers found that 81 percent of recent sellers contacted only one agent before finding the agent they worked with, and that most buyers interviewed only one agent, 77 percent of repeat buyers. The same report found that 43 percent of buyers started their search by looking at properties online, and 21 percent by contacting an agent.

That is US data, and markets differ, but the logic travels: the enquiry that comes off a portal listing is often a caller's first conversation with anyone in your office. If it rings out while the listing agent is showing another flat, the caller dials the next listing. The cheapest improvement most offices can make is to make sure that call is answered, properly, every time.

An AI receptionist does not replace a fast human response to a web-form lead. For that, see the outbound side: the real estate dialer and our real estate cold calling and follow-up guide. What the AI receptionist fixes is the inbound call nobody was free to take.

What it handles

What can an AI receptionist do for a real estate office?

Listing and portal enquiries

Put the number routed to the AI voice agent on your listings and portal adverts. The caller asking whether the two-bedroom is still available is answered by the agent, not by a phone ringing in an agent's pocket during a viewing.

Viewings booked into calendars

The agent checks free-busy on the connected Google Calendar or Microsoft 365 calendar, then books, moves or cancels a viewing on the call. Calendars sync at organisation scope and to each staff member's own calendar.

Listing questions from your documents

Upload listing sheets, building rules, service-charge notes, area guides and your process documents. The agent answers from them by semantic search, and when a listing changes you change the document, not a script.

The questions your agents ask first

Buying or renting, budget, area, move-in timeline, cash or mortgage: you decide which questions the agent asks and in what order. The answers land in the call's transcript and outcome in your CRM.

WhatsApp or SMS after the call

A confirmation or follow-up goes out by WhatsApp or SMS after the call. Replies land against the same contact, so the thread stays in one place.

A person when the deal needs one

Offers, negotiation, a seller who wants to talk to their agent, anyone who asks for a person: the agent hands off to your team. That is a designed branch of the call, not a failure.

Evenings, weekends and public holidays

Property enquiries peak when people are off work, which is exactly when your office is not. A number routed to the AI voice agent is answered by the agent rather than by whoever happens to be free, within the capacity limits you set. For numbers that route to a staffed queue instead, business-hours and holiday calendars are set per tenant and enforced by schedule gates, so your weekend and public holidays are settings rather than reminders. When a queue call goes unanswered, missed-call recovery plays your own announcement and texts a nominated manager the caller's number.

Your questions, your order

Which qualifying questions should an AI receptionist ask buyers and tenants?

The same ones your best agent asks in the first two minutes. You configure the agent in Agent Studio, its persona, role, knowledge base and flow, so the questions are yours rather than a vendor's template.

Every call leaves a result: the recording, the transcript and the outcome, pushed into your CRM. Your team reads the answers and decides who to call first. We do not describe this as automatic lead scoring, because it is not: it is a well-asked first conversation that your agents do not have to repeat.

Keep it short. Three or four questions on the call; anything else can wait for the agent who calls back.

Question Why it is worth asking
Buy or rent? Decides which listings and which team are relevant.
Which property, or which area? Ties the call to a listing or a patch, so the right agent follows up.
Budget range Avoids booking a viewing nobody can afford.
Timeline to move or buy Separates this-month movers from next-year browsers.
Cash, mortgage, or mortgage in principle? Tells your agent how ready the buyer is. The agent records the answer; it does not give financial advice.
Selling as well? A buyer who also needs to sell is a valuation appointment for your listing side.

Property management

Can an AI receptionist handle property management calls?

The routine ones, yes. A tenant reporting a dripping tap at 21:00 needs to be heard, logged and told what happens next. A tenant reporting water coming through the ceiling needs a person now. Draw that line before launch.

Call The AI receptionist Your team
Repair or maintenance request Takes the unit, the problem and a callback number, answers your published process from the knowledge base, sends a WhatsApp or SMS follow-up Logs and schedules the job; staff can turn the conversation into a ticket in the inbox and track it to resolution
Something that sounds like an emergency (leak, no power, gas smell, a lock-out) Does not try to solve it. Hands the caller to a person Your on-call person, or the emergency services where life or property is at risk
Rent, service charge and payment questions Answers what your documents say: due dates, how to pay, who to contact Disputes, arrears conversations, anything about a specific balance
Viewings of vacant units Books, moves or cancels after a free-busy check, confirms by WhatsApp or SMS Exceptions, keys and access arrangements outside your rules
Move-in, move-out and building rules Answers from the building rules and process documents you upload Deposit deductions, complaints between neighbours, anything needing judgement

Each repair call leaves its recording, transcript and outcome in your CRM, so the request is written down even if nobody touches it until morning. The omnichannel inbox has built-in ticketing for your staff to track the job to resolution. The emergency list is yours to write; this table is general guidance, not legal or safety advice.

Gulf property markets

Does it speak Arabic and English for Gulf buyers and tenants?

In Dubai, Abu Dhabi, Riyadh or Doha, the next caller about a listing may be a local buyer speaking Gulf Arabic, an investor from Amman or Cairo, or an expatriate tenant who wants English, Hindi or Urdu. The agent handles Arabic as dialects, including Gulf, Levantine and Egyptian, rather than as one flattened language, and works in 10 more languages, 11 in total.

Many callers mix Arabic and English in one sentence, and read out phone numbers and prices in a mix of digits. How well any agent copes with your callers' mix is something to test, not to take on trust: on a demo we run it with your own phrases and you judge it by ear. The follow-up then goes out on WhatsApp, the channel your buyers and tenants actually read. See the Arabic AI voice agent and the UAE AI receptionist page.

Hear it

What does the AI receptionist sound like on a call?

AI voice agent demo — simulated caller. Layla's replies come from the production model; the callers are synthetic voices and the businesses are fictional. These recordings are a salon and a clinic, not a property office: listen for how the agent answers questions, takes a callback request and books in Arabic.

Worked example

How much does an AI receptionist for real estate cost?

On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI, a usage-billed add-on on the Professional plan ($129 per agent per month) or Enterprise. The seats below are for the people who take handoffs.

Office Calls × length AI minutes at $0.60 Professional seats Total a month Per answered call
Independent agent or small team 150 × 2 min = 300 min $180 1 × $129 $309 ≈ $2.06
Sales and lettings brokerage 600 × 2 min = 1,200 min $720 2 × $129 $978 ≈ $1.63
Property management office 500 × 3 min = 1,500 min $900 2 × $129 $1,158 ≈ $2.32

Minutes are billed per started connected minute, so a call of 2 minutes 10 seconds counts as 3. Measure your average in started minutes, not in exact seconds. Property management calls tend to run longer than listing enquiries because the caller is describing a problem, which is why the third row assumes 3 minutes.

Examples, not quotes: carrier minutes are billed by your carrier, taxes are excluded and seats are at monthly prices (annual billing saves 20% on plans). With your own model keys, a flat monthly fee replaces the per-minute AI rate. See pricing and what an AI receptionist costs.

Comparison

AI receptionist vs answering service vs your own mobile

Most agents start with the third column. Here is what changes with each option.

AI receptionist (DialerBee) Human answering service The agent's own mobile
Who answers The AI voice agent, on the number you route to it A human operator at a third-party service You, if you are not driving, in a viewing or asleep
Viewing booked during the call Yes, after a free-busy check on the connected calendar Often a message for you to call back, depending on the plan Yes, if you answer and have your diary with you
Listing questions Answered from the documents you upload Usually limited to a script you supply Answered well, from memory
Arabic and English Arabic dialects, including Gulf, plus 10 more languages Depends on the service Whatever you speak
After the call Recording, transcript and outcome pushed to the CRM; WhatsApp or SMS follow-up A message or email summary Notes, if you write them
Cost model on DialerBee $0.60 per started connected minute on managed AI, plus a Professional seat Varies by provider: per call, per minute or monthly bundles Your time, and the enquiries you miss
Best for Routine enquiries, bookings, FAQs and out-of-hours calls Offices that want a human voice on every call The calls only you should take

A qualitative comparison of operating models. Answering services differ widely; check what a specific provider includes. For a longer comparison read AI receptionist vs IVR vs answering service.

Choose a human answering service if every caller must hear a person; keep the mobile for clients who already have your number. Many offices use the AI receptionist for the listing and office numbers and keep both.

Handoff

Which real estate calls should go straight to a person?

Anything where a wrong answer costs a deal, money or someone's safety. When the agent hands over, the call goes into your inbound queues, which route by FIFO, round-robin or longest-idle, with skills-based routing available per queue, so a lettings question can reach the lettings team. Supervisors can listen, whisper or barge in.

More on designing it: AI voice agent human handoff.

  • Offers, counter-offers and price negotiation
  • Contracts, deposits, commission and anything legal
  • Mortgage or financial advice of any kind
  • Emergencies in a managed property
  • Complaints, disputes and upset tenants or landlords
  • A seller or landlord who wants their own agent
  • Any caller who asks for a person, and certainly any caller who asks twice

Setup

How do you set up an AI receptionist for a property office?

1

Write down your call types

List the last two weeks of calls: listing enquiries, viewing requests, valuation requests, tenant repairs, payment questions. Mark which ones a person must take.

2

Upload your knowledge

Listing sheets, area notes, building rules, your viewing and maintenance process, office hours. Keep prices and availability current: the agent answers from what you give it.

3

Connect calendars

Connect Google Calendar or Microsoft 365, set up viewings and valuations with their durations, and let capacity rules refuse a slot that is already full.

4

Set the questions and the handoff

Choose the qualifying questions, the emergency words that go straight to a person, and the queue that receives handoffs.

5

Test it like a buyer would

Call it in English and in the Arabic your callers speak, mix the two, ask about a listing that has sold, try to book a Friday viewing, and ask for a person twice.

Versions in Agent Studio publish and roll back, and kill switches stop one agent or all AI calling. The full walkthrough: how to set up an AI receptionist. Data handling is on the trust center.

Questions

Real estate AI receptionist FAQ

What is an AI receptionist for real estate?
It is an AI voice agent that answers your office or listing number, answers questions about your listings and process from documents you upload, asks the questions your agents would ask first, books viewings into your team's calendars and hands the caller to a person when the conversation needs one. On DialerBee it is the AI voice agent, Layla, running on the same platform as your queues, CRM push and WhatsApp and SMS.
Can it book property viewings into my agents' calendars?
Yes. It checks free-busy on the connected calendar, then books, reschedules or cancels during the call. Google Calendar and Microsoft 365 sync at organisation scope and to each staff member's own calendar, capacity rules refuse a slot that is already full, and the agent only tells the caller a viewing is booked once the system has confirmed it.
Does it qualify buyers and tenants?
It asks the questions you configure, such as buying or renting, budget, area, timeline and cash or mortgage, and the answers are kept in the call's transcript and outcome, pushed into your CRM. DialerBee does not sell this as a lead-scoring feature: your team reads the answers and decides who to call first.
Can an AI receptionist handle property management calls?
It can take routine tenant calls: repair requests with the unit, the problem and a callback number, questions about payments and building rules answered from your documents, and viewings of vacant units. Anything that sounds like an emergency should go straight to a person, and the agent hands off rather than trying to solve it.
Does it speak Arabic for Dubai, Abu Dhabi, Riyadh or Doha callers?
Yes. Arabic is handled as dialects, including Gulf, Levantine and Egyptian, and the agent works in 10 more languages, 11 in total, including English, Hindi and Urdu. Many Gulf callers mix Arabic and English, so test the agent with your own callers' phrases before you go live and judge it by ear.
How much does an AI receptionist for a real estate office cost?
On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI, on a Professional ($129 per agent per month) or Enterprise plan. For example, 600 calls a month at 2 minutes each is $720 of AI minutes plus two Professional seats, $978 a month. With your own model keys a flat monthly fee replaces the per-minute rate, and carrier minutes are billed by your carrier.
Will it replace my agents or my answering service?
It replaces the voicemail and the unanswered ring, not the agent. It takes the routine enquiries, bookings and out-of-hours calls so your agents spend their time on viewings, valuations and negotiation. Offers, contracts, complaints and emergencies stay with people.
Can I keep the phone number on my listings?
Yes, if it reaches you over a SIP trunk or PBX: the self-serve trial connects your own trunk or PBX, and the number can then be routed to the AI voice agent. If you would rather not deal with trunks, ask for a demo and we set up the number for you.
