Call center cost calculator: software, staff and AI cost per call
Enter your agent seats, what an agent hour really costs you, your monthly call volume and handle time, and, if you want, the share of calls an AI voice agent answers. The calculator returns your monthly software, AI and staff cost, the total, your cost per call and your cost per handled minute, with every formula shown below.
Quick answer
Monthly call center cost = software seats + AI voice agent minutes + staff cost (agents × loaded hourly cost × paid hours). Divide by calls handled for cost per call. Example: 10 Professional seats at $129, agents at $20 an hour for 160 hours, and 14,000 calls with 25% answered by an AI voice agent at 2 billed minutes each: $1,290 + $4,200 + $32,000 = $37,490, or $2.68 per call. Carrier minutes are extra.

How this calculator works
Software = seats × plan price × 0.8 if billed annually. AI-handled calls = calls × AI share, rounded to whole calls; billed AI minutes = AI-handled calls × the AI call length rounded up to whole minutes; AI cost = billed AI minutes × $0.60. Staff = seats × loaded hourly cost × paid hours. Total = software + AI + staff. Cost per call = total ÷ calls. Cost per handled minute = total ÷ (agent-handled calls × handle time + AI-handled calls × AI call length). Paid agent hours spent on calls = agent-handled calls × handle time ÷ (seats × paid hours).
Results are estimates based only on the numbers you enter, at monthly list prices for Starter and Professional. Carrier minutes, phone numbers, taxes, overheads and Enterprise pricing are not included. With your own model keys, a flat monthly fee replaces the per-minute AI rate; it is not modelled here. Nothing you enter leaves your browser.
How do you calculate call center cost?
Most "call center cost calculators" multiply a cost per call you already know by your call volume, which only works if you already have the answer. This one builds the monthly cost from the three lines that make up most of a contact center budget, then divides it by the work done:
- Software: seats × price per agent per month. On DialerBee, a seat covers inbound queues and outbound campaigns, with no per-minute platform fees.
- AI voice agent minutes: billed AI minutes × $0.60, where each AI call is rounded up to whole minutes because billing is per started connected minute.
- Staff: agents × loaded hourly cost × paid hours per month. You pay for paid hours, not for talk time, so this line does not shrink when calls are short.
Cost per call = (software + AI minutes + staff) ÷ calls handled.
Cost per handled minute = the same total ÷ minutes spent handling calls (agent handle time plus AI call time).
In nearly every human-staffed operation, staff is by far the largest line. Software is usually a small share of the total, which is why the cheapest seat price rarely gives you the cheapest cost per call. What moves cost per call is how many paid agent hours you need for the calls you get, and that depends on volume, handle time and the service level you promise. The Erlang C calculator tells you how many agents a given volume needs; this page tells you what they cost.
What DialerBee costs per agent
The calculator uses DialerBee's published prices. They are the same on the pricing page:
| Plan | Monthly billing | Annual billing (−20%) | Agents | AI voice agent |
|---|---|---|---|---|
| Starter | $69 per agent per month | $69 × 0.8 = $55.20 | Up to 20 | Not available |
| Professional | $129 per agent per month | $129 × 0.8 = $103.20 | Up to 100 | $0.60 per started connected minute |
| Enterprise | Custom | Unlimited | $0.60 per started connected minute | |
AI minute prices are for managed AI. If you bring your own model keys, your model provider bills you directly and a flat monthly platform fee replaces the per-minute rate. Every plan has a 14-day free trial with no credit card. For what each plan includes beyond the price, such as dialing modes, the omnichannel inbox and recording retention, see pricing and the overview of call center software.
Worked example: 10 agents, 14,000 calls a month
The calculator opens with this example, so you can check every number. A support team has 10 agents on Professional, billed monthly. Each agent costs $20 per paid hour once taxes and benefits are added, for 160 paid hours a month. The team handles 14,000 calls a month at a 4-minute average handle time. An AI voice agent answers 25% of calls, such as opening hours and booking questions, in 1.5 minutes on average.
- Software: 10 seats × $129 = $1,290.
- AI minutes: 14,000 × 25% = 3,500 AI calls. A 1.5-minute call bills as 2 started minutes, so 3,500 × 2 = 7,000 minutes × $0.60 = $4,200.
- Staff: 10 × $20 × 160 = $32,000.
- Total: $1,290 + $4,200 + $32,000 = $37,490 a month.
- Cost per call: $37,490 ÷ 14,000 = $2.68.
- Cost per handled minute: agents spend 10,500 × 4 = 42,000 minutes and the AI 3,500 × 1.5 = 5,250 minutes. $37,490 ÷ 47,250 = $0.79.
- Agent time on calls: 42,000 minutes is 700 hours out of 1,600 paid hours, or 43.8%.
Now the honest part. If those same 10 agents took all 14,000 calls themselves, the total would be $33,290 and cost per call $2.38, lower than with AI. Adding an AI voice agent while keeping every paid hour only adds cost. It pays off when it changes how many hours you pay for:
| Scenario (14,000 calls) | Software | AI minutes | Staff | Total | Per call | Agent time on calls |
|---|---|---|---|---|---|---|
| A. 10 agents, no AI | $1,290 | $0 | $32,000 | $33,290 | $2.38 | 58.3% |
| B. 10 agents, AI takes 25% | $1,290 | $4,200 | $32,000 | $37,490 | $2.68 | 43.8% |
| C. 8 agents, AI takes 25% | $1,032 | $4,200 | $25,600 | $30,832 | $2.20 | 54.7% |
In scenario C, the 8 remaining agents spend about the same share of their time on calls as the 10 agents did in A, so they carry a similar workload, and the month costs $2,458 less than A. Whether 8 agents can actually hold your service level depends on when calls arrive, so check the peak intervals with the Erlang C calculator before you change a roster. The other way an AI voice agent pays off is cover you do not staff today: evenings, weekends or overflow at peaks, where the comparison is with a missed call, not with an agent's wage. The AI receptionist ROI calculator models that case.
What does an AI receptionist cost per call?
On DialerBee, an AI voice agent call costs the started connected minutes × $0.60. Rounding up matters on short calls, so the calculator applies it to every call:
| Connected call length | Billed minutes | AI cost per call | 1,000 calls a month |
|---|---|---|---|
| 45 seconds | 1 | $0.60 | $600 |
| 70 seconds | 2 | $1.20 | $1,200 |
| 2 minutes 30 seconds | 3 | $1.80 | $1,800 |
| 4 minutes | 4 | $2.40 | $2,400 |
Because the calculator applies one average length to every AI call, it is an estimate: in a real month some calls are shorter and some longer, and each one is rounded up on its own. If your calls cluster just above a whole minute, enter a slightly higher average to stay on the safe side.

What is not included in this call center cost?
| Cost | In the calculator? | Where it comes from |
|---|---|---|
| Software seats | Yes | DialerBee plan price per agent |
| AI voice agent minutes | Yes | $0.60 per started connected minute on managed AI |
| Agent pay and on-costs | Yes | Your loaded hourly cost and paid hours |
| Carrier minutes and phone numbers | No | Billed by your carrier |
| Supervisors, QA and workforce planning staff | No, unless you give them seats | Your payroll |
| Office, equipment, headsets | No | Your facilities budget |
| Hiring, training and attrition | No | Add to the loaded hourly cost if you want it per call |
| Taxes | No | Your jurisdiction |
| Guided implementation or custom integrations | No | Standard self-service onboarding is included; scoped services are quoted |
Carrier minutes are the item most often missed. Self-serve sign-up connects your own SIP trunk or PBX, so your carrier bills you directly with no markup from DialerBee; if you would rather have the number set up for you, that goes through sales. Either way, add your carrier's per-minute rate × your total connected minutes, including the AI's, to the total above. How to lower cost per call without hurting service
- Size staffing to the peaks, not the month. Paid hours are the biggest line. Forecast by interval and staff each one with the Erlang C calculator instead of rostering a flat team all day.
- Cut handle time where it is waste. Hold time and after-call work are often easier to reduce than talk time. Thirty seconds off a 4-minute AHT removes one-eighth of agent call time.
- Move routine calls, then remove the hours. An AI voice agent only lowers cost when the hours it frees are taken off the roster or used for work you would otherwise hire for, as scenario C shows.
- Watch cost per minute too. If cost per call falls but cost per handled minute rises, calls may be getting shorter because they end unresolved, which brings repeat calls.
- Pick the plan for what you use. Starter is lower per seat; Professional adds the AI voice agent, all dialing modes and the omnichannel inbox. Price both in the calculator.
