Quick answer

Cloud call center software usually costs about $30 to $225 per agent per month on published seat plans (checked October 2026), or $0.038 a minute plus telephony on a pay-per-use platform such as Amazon Connect. Carrier minutes, AI usage, onboarding, recording retention and integrations are often billed on top. On DialerBee, Starter is $69 and Professional $129 per agent a month, 20% less billed annually: 25 Professional seats cost $3,225 a month before carrier minutes.

Work out your own number first

Enter your seats, agent pay, call volume and AI minutes in the free call center cost calculator. It returns your monthly software, AI and staff cost, cost per call and cost per handled minute, with every formula shown.

Call center software pricing pages show one number: the price per agent per month. Your invoice shows several more. Carrier minutes, AI usage, onboarding, recording storage, integrations and contract terms decide what you really pay, and they are where two quotes that looked the same end up thousands of dollars apart over a year.

This guide is for buyers comparing quotes. It covers how contact center software is priced, a checklist of the costs pricing pages leave out, full first-year costs for 5, 25 and 100 seats with every input shown, and how to negotiate contract length, prepayment, seat minimums and overage. We sell call center software, so our own prices are in here too, including where we are not the cheapest. If your current cost is mostly server and engineering time on a self-hosted system, see our VICIdial alternative page for the full comparison.

If you are still choosing what kind of system you need, start with our call center software buyer's guide. If you are still deciding between seat and minute pricing, read per-agent vs per-minute pricing and the real cost of per-minute pricing. This page assumes you are past those questions and want the full bill.

How Much Does Call Center Software Cost in 2026?

On published plans, a cloud call center seat costs roughly $30 to $225 per agent per month. The low end is a cloud business phone with call center basics, billed annually. The high end is a large suite with industry packages. Pay-per-use platforms skip the seat fee and charge for each minute instead.

Here is what three well-known vendors publish, next to our own prices. These are list prices from each vendor's own pricing page, checked October 2026. They change often, and plans include different features, so read this as the shape of the market rather than a like-for-like ranking.

VendorModelPublished price, checked October 2026Choose them if

DialerBeePer agent seat; AI voice agent by usageStarter $69, Professional $129 per agent per month, Enterprise custom; annual billing saves 20%; no per-minute platform fees; AI voice agent $0.60 per started connected minute on managed AIYou run inbound and outbound together, want your own carrier, or need multilingual AI and Arabic dialects in the same platform.

Put in plain seat maths at 25 agents: Aircall Professional billed annually is 25 × $50 = $1,250 a month, Talkdesk Voice Essentials is 25 × $105 = $2,625, and DialerBee Professional is 25 × $129 = $3,225, or $2,580 billed annually. On headline seat price alone we are not the cheapest of these. That is why the rest of this guide looks at what each seat includes and what is billed around it, because that is what decides the total.

How Is Contact Center Software Priced? The Eight Lines on Your Bill

Almost every quote is built from the same eight lines. Some vendors bundle a few of them into the seat; others bill each one. Ask for every line in writing.

LineHow it is usually billedWhat to watch
1. SeatsPer agent, named user or licence, per monthWhether supervisors and admins need paid seats, whether inbound and outbound are separate licences, and seat minimums.
2. Platform usagePer minute or per interaction, with or without a seat feeBilling increments, whether ringing and short calls count, and what happens at full-time volume.
3. TelephonyCarrier minutes and phone numbers, bundled or from your own carrierMarkup on bundled minutes, international rates, and whether you can bring your own SIP trunk.
4. AI usagePer AI minute, per conversation or per resolution, sometimes a separate licenceWhich plan allows it, rounding, and whether you can use your own model keys.
5. Implementation and onboardingFree self-service setup, or a one-off services feeWhat is in scope: IVR build, CRM connection, number setup, data migration, training.
6. Recording storage and retentionA retention period per plan, or a fee per GB storedHow long your rules require you to keep recordings, and what longer retention costs.
7. Integrations and APIIncluded, tier-gated, or sold as add-onsWhether your CRM connector and API access sit on the plan you are buying or only on the next tier up.
8. Support and SLAEmail support on entry plans; priority, a named manager or an uptime SLA higher upWhether the uptime SLA you need is only on the top plan.

Per-seat pricing is easier to budget and usually cheaper once agents are on the phone most of the day. Per-minute pricing is usually cheaper for small or seasonal volume. We go through the break-even in detail in per-agent vs per-minute pricing, so here we focus on the other lines.

The Hidden Costs Checklist

Go through this list with every vendor on your shortlist, including us. The right-hand column is what DialerBee's pricing page says, so you can see how one vendor answers each question.

Hidden costQuestion to askOn DialerBee
Carrier minutesAre minutes included? If bundled, at what rate per country?Platform pricing only. Bring your own SIP trunk or use DialerBee's carrier infrastructure; carrier minutes are billed by your carrier with no markup from DialerBee.
Platform minute feesIs there a per-minute platform fee on top of the seat?No per-minute platform fees on agent seats.
Inbound vs outboundDoes an agent who takes queue calls and runs campaigns need two licences? One seat covers inbound and outbound.
AI usageWhich plan includes AI, how is it metered, and how are minutes rounded?AI voice agent on Professional and Enterprise, $0.60 per started connected minute on managed AI, or a flat monthly fee with your own model keys. Not on Starter.
Setup and implementationIs there a setup fee? What is in scope, and is it fixed price?Standard self-service onboarding is included. Guided enterprise implementation, custom integrations or migration may need a scoped services package.
Recording retentionHow long are recordings kept on my plan? Is storage billed per GB?30 days on Starter, 90 days on Professional, 1 year on Enterprise; no separate recording storage fee.
Integrations and APIIs my CRM connector and API access on this plan?CRM iframe integration on every plan. API keys and webhooks: limited read-only scope on Starter, included on Professional, full API access on Enterprise.
Seat minimumsWhat is the smallest number of seats I can buy?No minimums on monthly plans.
Plan ceilingsAt what team size am I forced onto the next tier?Starter up to 20 agents, Professional up to 100, Enterprise unlimited.
Uptime SLAIs an uptime commitment in my contract, or only on the top plan?99.95% uptime SLA on Enterprise.
Exit costsHow do I get my recordings, reports and contact data out, and is there a fee?Reports export to CSV, Excel and PDF. Ask us, as you would any vendor, how a full export of your data would work before you sign.

Two costs never appear on an invoice. The first is agent time lost to a slow or unreliable system: a few minutes per agent per day across a 25-seat floor is a lot of paid hours. The second is switching cost: retraining, rebuilding IVR flows and reconnecting the CRM. Both are reasons to test on real calls during a trial before you commit to a year.

Total Cost of Ownership: 5, 25 and 100 Seats Worked Out

These examples use DialerBee's published prices only. Seats are at list price, and annual billing is shown at 20% less. Carrier minutes depend on your carrier, so we show the minutes rather than invent a rate: multiply them by your own carrier's price. Every other figure is an illustrative assumption, not a customer result:

  • Each agent talks for 4 hours a day, 22 working days a month: 5,280 talk minutes per agent per month.
  • The 5-seat team is on Starter. Starter stops at 20 agents, so the 25-seat team is on Professional. Professional covers up to 100 agents, so the 100-seat team is too.
  • The optional AI voice agent answers 1,500 overflow calls a month for the 25-seat team, and places 5,000 reminder calls a month for the 100-seat team, at 2 billed minutes per call.

Carrier minutes and taxes are excluded from every total. The AI voice agent's calls also use carrier minutes. In the "effective cost per seat" row, the AI minutes are spread across the seats, which is how a finance team will see them.

How to read the three examples

  • 5 seats. Starter is the cheapest way in, and with no minimums on monthly plans you can start with exactly five. If the team needs the AI voice agent, predictive dialing, the omnichannel inbox or full listen, whisper and barge, that is Professional: 5 × $129 = $645 a month, or $516 billed annually. An AI receptionist answering 300 calls a month at 2 minutes each would add 600 × $0.60 = $360. For a small team the seat price matters most, so compare carefully; our AI receptionist cost guide covers the one-or-two-seat case.
  • 25 seats. The AI line is now more than half the seat bill, so how the AI is metered matters as much as the seat price. Check how many of those 1,500 calls it really resolves; we show how in AI voice agent pricing and cost per resolved call.
  • 100 seats. This is the top of Professional. If you expect to grow past 100 agents, or you need 1-year recording retention, the operations center, white-label, multi-tenant management or a 99.95% uptime SLA, price Enterprise now rather than at renewal. Enterprise is custom, so get the quote in writing before you compare.

Do not buy a seat for everyone on the payroll. Size seats to the agents logged in at your peak hour, and use the Erlang C calculator to see how many you need for your service level. Then put the result into the call center cost calculator with your real agent pay, because staff cost is usually far larger than software cost. Starting from zero? Our guide on how to start a call center lists every startup cost line by line.

What Do AI Features Add to Call Center Software Pricing?

AI is now the line most likely to move your bill. Vendors price it in three main ways: per AI minute, per conversation or resolution, or as a separate licence per agent for assist features. Some also let you bring your own model provider keys and pay that provider directly.

On DialerBee, the AI voice agent, Layla, is a usage-billed add-on on Professional and Enterprise at $0.60 per started connected minute on managed AI. A call of 2 minutes and 10 seconds bills as 3 minutes. With your own model keys, a flat monthly platform fee replaces the per-minute rate and your model provider bills you directly; ask sales for that fee. Carrier minutes are billed by your carrier either way. Live agent assist and transcription are listed as part of the Professional plan.

Questions to put to every vendor about AI pricing:

  1. Which plan do I need before AI is available at all?
  2. Is it billed per second, per started minute, per conversation or per resolution?
  3. Do failed, abandoned or very short calls count?
  4. Can I set a spending limit, and what happens when it is reached?
  5. Can I use my own model keys, and what does the platform charge then?

Price only means something next to quality. This is a short recording of DialerBee's AI voice agent. AI voice agent demo — simulated caller: the replies come from the production voice agent, the caller is synthetic and the business is fictional.

A real call of that length would bill as 1 started minute, or $0.60. Read the transcripts on the AI voice agent page, and see what the AI receptionist handles for inbound calls.

How to Negotiate Call Center Software Pricing

The list price is where the conversation starts. These are the terms that move the total most, in order of impact.

1. Contract length: annual only pays if you keep the seats

An annual discount is a bet on your headcount. With a 20% discount, as on DialerBee, twelve months of annual billing cost the same as 9.6 months of monthly billing (12 × 0.8). If there is a real chance you will cut seats within about nine months, monthly billing is cheaper even at the higher price. On DialerBee, annual plans need a 12-month commitment; monthly plans have no minimums, and plan changes take effect on your next billing cycle without penalties.

2. Prepayment: ask how, not just how much

"Annual" can mean paid upfront or paid in instalments. DialerBee bills annual plans upfront or quarterly depending on plan size. Quarterly payment on an annual price keeps the discount without tying up a year of cash. Ask every vendor whether the annual rate is available with quarterly or monthly payment.

3. Seat minimums and ramp schedules

Some vendors set a floor: Aircall, for example, lists a minimum of 3 licences. Larger contracts often carry a committed seat count for the whole term. If you are growing, ask for a ramp: the committed count starts at today's team and steps up on agreed dates, instead of paying for next year's headcount from day one.

4. Seasonal peaks: commit to your base, not your peak

If you need 25 agents for four busy months and 15 the rest of the year, committing all 25 to an annual plan wastes money. Illustrative maths on DialerBee prices, assuming the vendor lets you mix billing terms (ask before you plan on it): 15 annual Professional seats at $103.20 for 12 months is $18,576, plus 10 monthly seats at $129 for 4 months is $5,160, a total of $23,736. All 25 seats on annual billing would be $30,960, and all 25 on monthly billing $38,700.

5. Overage and usage rules

For every usage line, carrier minutes, AI minutes or interactions, ask for the rate, the billing increment, any allowance and what happens past it. A per-second rate and a per-started-minute rate are not the same price. Ask for usage alerts or a spend limit, and get the overage rate written into the contract, not just shown on a web page.

6. Renewal protection

The cheapest first year can become the most expensive third year. Ask for a cap on price rises at renewal, a notice period long enough to run a tender, and no automatic renewal into a longer term than you signed.

7. Services in a fixed scope

If the quote has an implementation fee, ask for a fixed scope: which IVR flows, which integrations, how many numbers, how much training. On DialerBee, standard self-service onboarding is included, and guided enterprise implementation, custom integrations, reseller onboarding or dedicated migration may need a scoped services package, quoted separately.

8. Your exit

Before you sign, find out how you would leave: how recordings, call records and reports are exported, in what format, and whether there is a fee. A cheap contract you cannot leave is not cheap.

For a formal quote suitable for procurement review, DialerBee's sales team works from your team size and requirements at sales@dialerbee.com, or contact sales.

Should You Bring Your Own Carrier?

Telephony is often the biggest line after people, and bundled minutes are where markups hide. With BYOC (bring your own carrier) you connect an existing SIP trunk, keep your carrier relationship and see carrier costs on your carrier's invoice. On DialerBee you can bring SIP trunks from any provider or use DialerBee's carrier infrastructure. Self-serve sign-up needs your own SIP trunk or PBX; if you do not have one, the number is set up for you through sales. More in BYOC and BYOC vs bundled telecom.

A Five-Step Way to Compare Quotes

  1. Fix your inputs. Seats at peak, talk minutes per month, AI calls per month, recording retention you need, and the integrations you cannot live without.
  2. Price every line. Use the eight lines above for each vendor, at the plan that actually includes what you need.
  3. Compare first-year and three-year cost. Include onboarding, the annual discount and the renewal terms.
  4. Divide by outcomes. Cost per handled call, or per resolved call for AI, says more than cost per seat. The call center cost calculator does this for you.
  5. Test before you commit. Run a trial on your own numbers and real calls. DialerBee has a 14-day free trial with free AI credit and no card.

Frequently Asked Questions

How much does call center software cost per agent?

Published cloud plans we checked in October 2026 run from about $30 to $225 per agent per month, depending on the vendor, the plan and whether you pay monthly or annually. Pay-per-use platforms charge by the minute instead. On DialerBee, Starter is $69 and Professional is $129 per agent per month, with Enterprise priced on quote.

Is telephony included in call center software pricing?

Often not. Many vendors bill carrier minutes, phone numbers and international calling separately from the seat. DialerBee prices the platform only: you bring your own SIP trunk or use DialerBee's carrier infrastructure, and carrier minutes are billed by your carrier with no markup from DialerBee.

What hidden costs should I budget for?

Carrier minutes and numbers, AI usage, onboarding and implementation services, recording retention beyond the plan limit, integrations or API access on higher tiers only, seat minimums, overage and rounding rules, and the cost of getting your data out when you leave.

Is annual billing worth it?

Only if you will keep the seats for most of the year. A 20% annual discount means twelve months cost the same as 9.6 months of monthly billing. If you expect to cut seats within about nine months, monthly billing is usually cheaper even at the higher price.

How much does call center software cost for 25 agents?

On DialerBee Professional, 25 seats are $3,225 a month, or $2,580 a month billed annually, which is $30,960 for the year. Adding an AI voice agent that answers 1,500 overflow calls a month at 2 minutes each adds $1,800 a month. Carrier minutes are billed by your carrier on top.

Do AI features cost extra?

Usually, and usually by usage. On DialerBee the AI voice agent is an add-on on Professional and Enterprise at $0.60 per started connected minute on managed AI. With your own model keys, a flat monthly platform fee replaces the per-minute rate and your model provider bills you directly.

Are there seat minimums or long contracts?

It depends on the vendor; Aircall, for example, lists a minimum of 3 licences. DialerBee has no minimums on monthly plans. Annual plans need a 12-month commitment and save 20%, and Enterprise contracts are customised.

Can I try call center software before paying?

Most vendors offer a trial or a demo. DialerBee has a 14-day free trial with free AI credit and no card, for teams that connect their own SIP trunk or PBX. Without one, book a demo and the number is set up for you through sales.

The Bottom Line

Call center software pricing starts with a seat price, but the total depends on telephony, AI usage, onboarding, retention, integrations and contract terms. Price every line, commit annually only to the seats you are sure of, and compare cost per handled call rather than cost per seat. To see DialerBee on your own numbers, book a demo or start a 14-day free trial with your own SIP trunk. Full plan details are on the pricing page.
