AI Receptionist for Schools & Universities: Admissions Calls, Campus Visits & Student Enquiries

On results day the admissions line gets weeks of calls in a few hours, and most of them ask the same things. An AI receptionist answers them from your own prospectus and catalogue, books campus visits and advising appointments, sends current students and parents to the right office, and leaves every admissions decision to your staff.

Quick answer

What is an AI receptionist for schools and universities? It is an AI voice agent that answers the admissions or main number, including results-day surges. It answers programme, entry-requirement and term-date questions from your own documents, quotes only fees in your catalogue, books campus visits and advising appointments, and routes students and parents to the right office. Admissions decisions and welfare calls go to staff. On DialerBee it speaks 11 languages, at $0.60 per started connected minute plus Professional seats.

The admissions peak

Why do schools and universities use an AI receptionist?

Because an admissions office is quiet for most of the year and overwhelmed on a handful of days. Results come out, a deadline approaches, enrolment opens, and the same few people who process applications are expected to answer every phone at once. Calls ring out, and the applicant who could not get through rings the next institution on their list.

Most of those calls are routine. What grades do I need? Is there still a place? What are the fees? Can I visit? The answers are already in your prospectus and on your course pages. The calls that really need a person, an application that went missing, a borderline grade, a worried parent, wait behind them.

An AI receptionist takes the routine part and passes the rest to people. This page covers what most vendor pages skip: what the agent must never say to an applicant, how to keep data about under-18s to a minimum, how to route current students and parents, and what it costs in your busiest month, not your quietest.

What it handles

What can AI phone answering do for a school, college or university?

The admissions line at its peak

Route the admissions number to the AI voice agent. On the day after results or the week before a deadline, the caller asking whether a course still has places is answered, not left in a ringing queue.

Programmes and entry requirements

Answers come from documents you upload, your prospectus, course pages and admissions policy, retrieved by semantic search. If your catalogue says it, the agent can say it; if not, it says it will find out.

Fees you have entered, nothing else

Only prices in your service catalogue can be spoken. A tuition fee, an application fee or a deposit you entered can be quoted; a scholarship amount you never entered is not invented on the call.

Campus visits and advising appointments

A campus tour, an open-day slot and a 20-minute advising call are services with their own duration and capacity. The agent checks free-busy on the connected calendar, then books, moves or cancels.

Students and parents to the right office

Fees to finance, transcripts to the registry, housing to accommodation, a welfare concern to a person straight away. Each office is its own inbound queue.

The prospectus on WhatsApp

After the call a WhatsApp message can carry the prospectus as a document, the course page link, a campus map pin and the visit confirmation. Replies land in one inbox against the same contact.

Every enquiry leaves a record

Each call's recording, transcript and outcome is pushed to your CRM, so the 22:15 call from an applicant in another time zone is written down before the office opens. CRM connectors cover HubSpot, Salesforce, Zoho, Pipedrive, Zendesk and Microsoft Dynamics with your own CRM app credentials, and Odoo and Freshworks with your own API key. DialerBee does not connect to student information systems or application portals; the CRM is where enquiries land.

Call by call

Which student enquiries can AI answer, and which go to staff?

A starting point for your own rules. Change the office names and who takes each handoff to fit your institution.

What the caller says The AI receptionist Who takes it
"What grades do I need for nursing?" "Is there a foundation year?" Answers from your course pages and entry-requirements documents, in your words Nobody, unless the caller's case is unusual
"How much are the fees for international students?" Quotes only fees entered in your catalogue; otherwise sends your fees page by WhatsApp or SMS Finance or the international office, for anything bespoke
"Can I come and see the campus on Saturday?" Books a visit slot after a free-busy and capacity check, confirms once the system has saved it Whoever runs tours that day
"I'd like to talk to someone about which course suits me" Books an advising appointment on that adviser's own calendar An admissions adviser
"Have you received my application?" "Am I in?" Does not guess and never states an admissions decision. Hands off to the admissions queue or books a callback Admissions staff
A parent: "My son's timetable is wrong" / "How do I pay the term fee?" Routes to the registry or finance queue; does not discuss an individual student's record Registry or finance
"I need my transcript" / "My student portal won't log in" Reads your published process from the knowledge base, then routes to the right queue if needed Registry or IT helpdesk
A welfare, safety or safeguarding concern Does not handle it. Transfers immediately to the person or queue you name Your designated staff

Through the agent

The agent recognises "I'm already a student" or "I'm calling about my daughter's fees" by the rule you write and hands the call into that office's queue. Queues route by FIFO, round-robin or longest-idle, with skills-based routing available per queue.

Before the agent

An IVR flow can ask "prospective student, current student or parent?" and offer a language choice first. Its CRM lookup node can recognise a caller from your records and route on that.

Around the agent

Each number in your DID inventory routes to a queue, a user, an IVR flow or an AI voice agent. Keep the registry's direct line on a queue and put only the admissions number on the AI.

Business-hours and holiday calendars are set per tenant and enforced by schedule gates, so term breaks need nobody to remember them. If a queue does not answer within your ring timeout, missed-call recovery plays your announcement and texts a nominated manager the caller's number. Wording for transfers is in our inbound call scripts.

Admissions season

How does an admissions call center AI handle results day and deadline surges?

The peaks follow the academic calendar, so you know when they are coming. Set the agent up weeks before, not on the morning the results come out.

Results and Clearing

In the UK, UCAS describes Clearing as "how unis and colleges fill any places they still have on their courses"; it opens each summer and runs into the autumn, with the exact dates published by UCAS every year. Results days compress weeks of calls into hours: applicants ringing to ask about places, grades and next steps.

Application and deposit deadlines

Wherever you recruit, the week before an application, scholarship or deposit deadline brings the same short calls: is it too late, which document is missing, how do I pay. Check your own call log for the shape of your peaks.

Enrolment and the first weeks of term

New students and their parents ring about timetables, fees, housing and logins, often to the wrong number. Routing them to the right office on the first call is most of the job.

Source, opened October 2026: UCAS, What is Clearing? Dates change every year; check the official page for your cycle.

Before the peak

  • Upload this cycle's entry requirements, course list and admissions policy, and remove last year's
  • Write a short "places and vacancies" document you can update during the day
  • Add extra visit and advising slots to the catalogue for the weeks after results
  • Set capacity and governance limits in Agent Studio for the busiest day
  • Decide which queue takes "have I got a place?" calls, and staff it

The one line it must never cross

The agent never tells an applicant they have a place, that an offer is coming or that their grades are enough. Write that rule into its role in one sentence, and have it say what it can do instead: "I can't confirm admissions decisions, but I can put you through to the admissions team or book you a call with an adviser."

Every candidate reply passes guardrails before it is spoken, and booking actions must return a confirming status before the agent says they are done. Neither replaces your own testing: ask it "am I in?" ten different ways before launch.

Visits and advising

Can an AI receptionist book campus visits and advising appointments?

Yes. Each kind of appointment is a service in your catalogue with its own duration and the resources it needs: a 45-minute campus tour, an open-day slot, a 20-minute call with an admissions adviser, a meeting with the international office. The agent checks free-busy on the connected Google Calendar or Microsoft 365 calendar, and capacity rules refuse a booking when a tour is full.

Calendars sync at organisation scope and to each staff member's own calendar, so a caller asking for a named adviser is offered only that adviser's free times. The agent says a visit is booked only once the system has confirmed it. Reminders go out over SMS, WhatsApp and email on the policy you set, with ICS attachments.

What it is not

DialerBee books into Google Calendar or Microsoft 365. It does not connect to student information systems, learning platforms or application portals, so it cannot look up an application or a student record on the call. If your open days are run entirely in an events or admissions platform, that platform's own booking may suit you better for those, and the agent can send its link instead.

More on booking: appointments and reminders.

Follow-up

Can AI follow up student enquiries by phone and WhatsApp?

AI outbound campaigns, under your consent rules

Point the AI agent at a list of enquiries, such as everyone who requested a prospectus but has not booked a visit, and run it as an outbound campaign with the same list and pacing machinery your human campaigns use. It can also place the callbacks it promised on an earlier call. DNC, calling hours and consent are checked at the attempt, under the jurisdiction pack for the number being called, and kill switches stop one agent, one campaign or all AI calling.

The prospectus where applicants read it

WhatsApp carries nine message types, including documents, images, video, location and interactive buttons and lists. After a call, send the prospectus PDF, the course page, a campus map pin and buttons such as "Book a visit" or "Talk to admissions". Replies land in the omnichannel inbox against the same contact.

Voice, WhatsApp and SMS share the same consent and suppression records, so an applicant who opts out on one channel is opted out of the others. These are compliance-supporting controls: rules on contacting applicants, and especially minors, differ by country and institution, and your obligations remain your own. Read consent management for outbound calling and, for the outbound side in depth, the student recruitment calling guide and the education dialer.

Privacy

How should a school handle privacy when the caller may be under 18?

Collect as little as possible. The agent collects only the fields you configure, and a receptionist's job, booking and routing, rarely needs more than a name, a number and a course.

A data rule to put in the agent's role

  • Decide the fields the agent may collect, for example a name, a phone number, the course of interest and the year of entry, and write them into its role. The agent collects only what you configure.
  • For callers who may be under 18, keep it to what a visit booking or a callback needs. Leave out dates of birth, home addresses, student ID numbers and anything about health or family circumstances.
  • Never discuss an individual student's grades, attendance, conduct or fees with a caller. Route those calls to the office that can check who is calling.
  • Any welfare, safety or safeguarding concern is transferred to a person you name, at once, and is not handled by the agent.
  • Set recording retention to your institution's own policy before you go live, and say in the greeting that the caller is speaking to an AI assistant.

These are the controls DialerBee has in place, as listed on the trust center:

Encryption

TLS 1.2+ for data in transit and AES-256 for data at rest, including recording storage and backups.

Tenant isolation

PostgreSQL row-level security enforced on every tenant table, so another tenant cannot read your institution's calls.

Retention you set

Recording retention, audit log retention and data lifecycle policies are configurable per tenant, with automatic enforcement of retention windows.

Signed recording links

Recordings are never exposed via raw paths. Signed links expire after one hour; an expired link returns 403, not audio.

Customer call data is not used to train shared cross-tenant models by default. Access runs through a per-tenant role matrix and append-only audit logs, with single sign-on, two-factor sign-in and an IP allow-list available, so the finance team need not see admissions calls. A DPA is available, and SOC 2 Type II is planned, not held. These are compliance-supporting controls, not a statement that using them meets your data-protection or child-protection rules; check those with your data protection officer.

International applicants

Can it answer applicants and parents in their own language?

The agent works in 11 languages: English, Arabic, Spanish, French, German, Italian, Turkish, Hindi, Urdu, Portuguese and Indonesian. Arabic is handled as dialects, including Gulf, Levantine and Egyptian, rather than as one flattened language, which matters when a parent in Riyadh and an applicant in Amman ring the same number.

For a university in Latin America, Spanish and Portuguese callers can be answered in their own language on the same number. For a UK or Gulf institution recruiting abroad, the international office can let Hindi, Urdu or Indonesian callers ask about entry requirements without waiting for the one adviser who speaks their language.

Your knowledge pack still matters most: write course names and requirements the way your applicants say them. Applicants often mix languages, so test with real phrases and judge it by ear. See the Arabic AI voice agent.

Hear it

What does an AI receptionist sound like on a student enquiry?

AI voice agent demo — simulated caller. Layla's replies come from the production model; the callers are synthetic voices and the businesses are fictional. These recordings are a clinic and a salon, not a school: listen for how the agent answers questions from its documents and takes a callback, books a slot in Arabic, and handles a reminder that ends in a change. An enquiry, a campus visit and a visit reminder follow the same steps.

Worked example

How much does an AI receptionist for a school or college cost, including the admissions peak?

On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI. It is a usage-billed add-on on the Professional plan ($129 per agent per month) or Enterprise. The seats below are for the staff who take handoffs, such as admissions advisers.

Institution and month Calls × length AI minutes at $0.60 Professional seats Total a month Per answered call
Independent school, normal month 250 × 3 min = 750 min $450 1 × $129 $579 ≈ $2.32
Same school, admissions-open month 700 × 3 min = 2,100 min $1,260 1 × $129 $1,389 ≈ $1.98
College admissions office, normal month 1,200 × 3 min = 3,600 min $2,160 3 × $129 $2,547 ≈ $2.12
Same college, results and Clearing month 4,000 × 3 min = 12,000 min $7,200 3 × $129 $7,587 ≈ $1.90

Every row assumes 3 minutes a call, because a caller working through entry requirements and fees takes longer than a one-line booking. Minutes are billed per started connected minute, so a call of 2 minutes 15 seconds counts as 3. In the peak month the seats stay the same and only the minutes grow, so the cost per answered call goes down.

Over a year: the college with ten normal months at $2,547 and two peak months at $7,587 spends $25,470 plus $15,174, $40,644, before carrier minutes. If it also runs an AI follow-up campaign to 1,500 enquiries at 2 minutes each, that adds 3,000 minutes, $1,800, in the month it runs. Set that against overtime and temporary staff in results week, and the applicants who would otherwise have rung out.

These are examples, not quotes. Carrier minutes are billed by your carrier, taxes are excluded and seats are at monthly prices (annual billing saves 20% on plans). With your own model keys, a flat monthly fee replaces the per-minute AI rate. See pricing.

Comparison

AI receptionist vs admissions staff vs a student-ambassador call team

Three ways institutions cover the admissions phone, compared as operating models.

AI receptionist (DialerBee) Admissions staff Student-ambassador call team
Who answers on results day The AI voice agent, on the number you route to it, within the capacity limits you set in Agent Studio Whoever is free, while also processing applications Trained volunteers, for the shifts they can cover
Accuracy on entry requirements and fees From your uploaded documents; only catalogue fees are spoken High, from experience and the admissions system As good as their briefing; can drift from policy
Admissions decisions Never; hands off by your rule Yes, within their authority Should not; refer to staff
Visits and advising appointments Books, moves or cancels after a free-busy and capacity check Yes, with diary access Often a message for staff
Languages 11 languages, including Arabic dialects, Spanish and Portuguese Whatever your staff speak Often a strong mix, if you recruit for it
Lived student experience None; answers only from your material Professional view The real strength: what it is like to study there
Record of the call Recording, transcript and outcome pushed to your CRM Notes in the admissions system Notes, if the call log is kept
Cost model $0.60 per started connected minute on managed AI, plus Professional seats for staff who take handoffs Salaries, plus overtime or temporary staff at peaks Hourly pay or stipends, plus training and supervision
Choose it if Your volume spikes on predictable days and most calls repeat the same questions Calls need judgement or access to a student's file You want prospects to hear from a real student

A qualitative comparison of operating models, not of named products.

The three work best together: the AI receptionist takes the repeated questions and the overflow, admissions staff take decisions and files, and student ambassadors make the calls where a real student's view wins the applicant. For a longer comparison read AI receptionist vs human receptionist.

Setup

How do you set up an AI receptionist for a school or university?

1

Sort a peak week of calls

Take last results week or deadline week. Label each call: entry requirements, fees, visits, application status, current-student queries, parents, welfare. Mark the ones that need a person.

2

Write the knowledge pack

Course pages, entry requirements, the admissions policy, visit instructions, term dates, the fees policy and how to send documents. Remove last year's versions so only one answer exists.

3

Enter fees and services

Fees you are happy to have spoken go in the service catalogue. Visits, open-day slots and advising appointments go in as services with durations and capacity. Connect advisers' calendars.

4

Build the office queues

One inbound queue per office: admissions, international, finance, registry, accommodation, IT. Set business hours, holidays and who takes welfare calls.

5

Test as a nervous 17-year-old and a worried parent

Ask whether you got in. Ask in Gulf Arabic, then in Brazilian Portuguese. Start giving a date of birth. Ask for a person twice. Listen to every recording.

You configure the agent's persona, knowledge base, capacity limits, reminder policy and flow in Agent Studio. Versions publish and roll back, and kill switches stop one agent or all AI calling. Questions

Schools and universities AI receptionist FAQ

What is an AI receptionist for schools and universities?
It is an AI voice agent that answers an institution's admissions or main phone number. It answers questions about programmes, entry requirements and term dates from documents you upload, quotes only the fees in your service catalogue, books campus visits and advising appointments into the right calendar, and routes current students and parents to the right office queue. On DialerBee it is the AI voice agent, Layla, running alongside inbound queues, CRM push and WhatsApp and SMS follow-up.
Can admissions call center AI handle results day or Clearing?
It can take the repeated questions, within the capacity limits you set in Agent Studio: does the course still have places, what grades do I need, how do I apply, can I visit. It answers from what you uploaded and books callbacks or advising slots. It should never state an admissions decision or make an offer; those calls go to admissions staff by your rule. Update the knowledge base as places change through the day.
Will it give wrong entry requirements or fees?
It answers only from the documents you upload, retrieved by semantic search, and only prices in your service catalogue can be spoken, so it cannot invent a fee. The risk that remains is old material: if last year's requirements are still in the knowledge base, they can be read out. Keep one current version of each document, and test it with real questions before launch.
Can it route current students and parents to the right office?
Yes, through inbound queues. Set up one queue per office, such as admissions, finance, registry, accommodation and IT, and the agent hands each call into the queue your rules name. Queues route by FIFO, round-robin or longest-idle, with skills-based routing available per queue. An IVR flow can also ask prospective student, current student or parent before the agent, and offer a language choice.
Can it follow up enquiries by phone and WhatsApp?
Yes. The AI agent can run as an outbound campaign against your list of enquiries, using the same list and pacing machinery as human campaigns, and place AI callbacks it promised on an earlier call. DNC, calling hours and consent are checked at the attempt. WhatsApp can carry the prospectus as a document, course links and interactive buttons, and an opt-out on voice, WhatsApp or SMS applies to all three. These are compliance-supporting controls; your obligations remain your own.
Does it speak Arabic, Spanish and Portuguese?
Yes. The agent works in 11 languages: English, Arabic, Spanish, French, German, Italian, Turkish, Hindi, Urdu, Portuguese and Indonesian. Arabic is handled as dialects, including Gulf, Levantine and Egyptian. For a Latin American university, that means Spanish and Portuguese callers can be answered in their own language. Test with your own applicants' phrases and judge it by ear.
Is it safe for calls from children and teenagers?
Configure it to collect only what a booking or a callback needs. The agent collects only the fields you configure, so leave out dates of birth, ID numbers and anything about health or family. Route anything about an individual student, and every welfare concern, to a person. DialerBee encrypts data in transit and at rest, lets you set recording retention per tenant and serves recordings through signed links that expire after an hour.
How much does an AI receptionist for a college cost?
On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI, on a Professional ($129 per agent per month) or Enterprise plan. A college office taking 1,200 calls of 3 minutes in a normal month pays $2,160 for AI minutes plus three seats, $2,547. In a results month with 4,000 calls it is $7,587. With your own model keys a flat monthly fee replaces the per-minute rate, and carrier minutes are billed by your carrier.

Hear it answer an entry-requirements question, book a campus visit and refuse to say "you're in"

Send us your prospectus, your fee list and your office numbers. On the demo we show a visit booked into a calendar, a parent routed to finance, an admissions question handed to staff and the WhatsApp message the applicant receives, in English, Arabic, Spanish or Portuguese.
