AI Receptionist for Restaurants: Reservations, Questions & Rush-Hour Calls

The phone rings hardest when every pair of hands is carrying plates. An AI receptionist answers the restaurant number, books the table against the capacity you set, answers hours and parking from your own documents, and sends the menu link on WhatsApp. Allergies, large parties and complaints go to a person.

Quick answer

What is an AI receptionist for restaurants? It is an AI voice agent that answers your restaurant's number while staff are serving. It books, moves and cancels tables against your calendar and capacity rules, answers hours, location and policy questions from your documents, and sends booking details or your menu link by WhatsApp or SMS. It does not take food orders or answer allergen questions; those go to staff. On DialerBee it speaks Arabic dialects and English, at $0.60 per started connected minute plus a Professional seat.

The rush

Why do restaurants miss so many phone calls?

Because the calls arrive at the same time as the guests. People ring to book between 18:00 and 20:00, the hour your host is seating walk-ins, your floor manager is running food and the bar is three deep. The phone at the host stand rings out, or someone picks it up, says "can you hold?", and the caller hangs up and books the place down the road.

The calls are also repetitive. Most of them are a small set of questions: are you open, where are you, can I bring the children, do you have a table for four on Thursday, can I move my booking. Each one is easy, and each one takes a member of staff away from a guest who is already in the room.

An AI receptionist takes those calls so the people on the floor can look after the people in the room. It is not a replacement for your host: it is the part of the host's job that happens on the phone. Confirming tomorrow's bookings and calling back your waitlist is the outbound side, covered by the hospitality dialer.

What it handles

What can an AI host do for a restaurant?

The phone during service

Route your restaurant number to the AI voice agent. The 20:15 caller is answered by the agent, not left ringing next to a host who is seating a table of six.

Table bookings against real availability

The agent checks free-busy on the connected Google Calendar or Microsoft 365 calendar and books, moves or cancels on the call. Capacity rules refuse a slot that is already full.

Hours, branches, parking, dress code

Upload your opening hours, branch addresses, parking notes, set menus and house policies. The agent answers from those documents by semantic search, in your words.

Allergens go to a person

You write the rule: the agent never tells a caller a dish is safe for an allergy. It hands the call to staff, or takes a callback when nobody is free.

The menu link on WhatsApp

After the call the agent can send a follow-up by WhatsApp or SMS: the booking details, your menu link, your online ordering link or a location pin.

Large parties to the manager

Group bookings, private dining, buyouts and event enquiries are handed to the person who prices them, through your inbound queues.

Every call leaves a record

Each call's recording, transcript and outcome is pushed to your CRM. So the 21:30 call asking about a birthday dinner for twelve is written down, with the date and the caller's number, before the manager has finished the close. Replies to the WhatsApp or SMS follow-up land in the omnichannel inbox against the same contact.

Reservations

How does a restaurant reservation phone AI decide if a table is free?

From your calendar and your catalogue, not from a guess. Before offering a time, the agent checks free-busy on the connected Google Calendar or Microsoft 365 calendar. Each kind of booking in the service catalogue carries its own duration and the resources it needs, and capacity rules refuse a booking once it is full.

Booking type in the catalogue Duration you set Resources What the agent does when it is full
Lunch, table for 2 75 min Your two-top tables Refuses the slot once those tables are taken
Dinner, table for 4 105 min Your four-top tables Refuses the slot once those tables are taken
Iftar sitting (Ramadan) 120 min The tables you release for iftar Refuses the sitting once it is full
Party of 9 or more No booking None Hand off to the manager; the agent does not book it

Party size, time and the turn

The agent asks how many guests, which day and what time, then offers only what is actually open. The duration on each booking type is your table turn: a two-top at lunch and a four-top at dinner do not hold a table for the same length of time. The agent says the table is booked only once the system has confirmed it, and a follow-up by WhatsApp or SMS carries the details.

What it is not

DialerBee books into Google Calendar or Microsoft 365. It does not connect to restaurant reservation platforms or table-management systems, and it does not count covers per sitting the way those systems do. The table above is one way to model tables with booking types and resources. Bring your floor plan to the demo and check that it fits before you rely on it. If your whole book already lives in a reservation platform, that platform's own phone add-on may suit you better.

More on the booking side: appointments and reminders.

Takeaway and delivery

Can an AI receptionist take phone orders for a restaurant?

Not on DialerBee, and it is better to know that now. The AI receptionist does not take food orders, does not take payments on the call and does not connect to a POS. If most of your calls are takeaway orders, a dedicated AI phone ordering product built around your POS will serve you better than a receptionist.

What it does with a takeaway caller: answers when you open, how far you deliver and whether you do collection, from your documents, then sends your menu or online ordering link by WhatsApp or SMS after the call. A WhatsApp message can carry your link, a document, images or a location pin, so the caller gets the full menu instead of hearing it read aloud. If your team takes phone orders, the agent hands the caller to them.

Prices follow the same rule. Only prices in your service catalogue can be spoken, so the agent does not read out menu prices from a document or invent one. If you want a price said on the phone, such as a set iftar menu, put it in the catalogue. Everything else belongs on the menu you send.

Allergens

Can an AI receptionist answer allergen and menu questions?

Menu questions, yes: what the set menu includes, whether you have vegetarian dishes, whether there is a children's menu, answered from documents you upload. Allergen questions, no. That is a rule you write into the agent before launch, and a rule you test.

The reason is simple. Recipes change, suppliers change and cross-contact happens in a kitchen, not in a document. The person who can answer "is this safe for my son's peanut allergy?" is a trained member of staff with today's allergen record in front of them.

Rules differ by country, so check your own. In the UK, for example, the Food Standards Agency's allergen guidance for food businesses lists 14 allergens and says food sold at a distance, including by phone, needs allergen information before the purchase is completed and again when the food is delivered. It also says staff must receive allergen training.

The allergen rule to configure

  • Any mention of an allergy, intolerance or "is it safe" goes to a member of staff
  • The agent never says a dish is free of an allergen, even if a document seems to say so
  • If nobody is free, the agent takes the caller's number for a callback and says when to expect it
  • Keep allergen tables out of the agent's knowledge base, so there is nothing for it to quote
  • Test it with nuts, sesame, gluten and shellfish, in every language your callers use

Who takes which call

Which restaurant calls should the AI take, and which go to a manager?

A starting point. Change the party size, the wording and the names to fit your restaurant.

What the caller says The AI receptionist Who takes it
"Are you open on Friday?" "Where do I park?" Answers from your hours and location documents Nobody, unless the caller asks for a person
Table for 2 to 8 people Checks free-busy, books, confirms by WhatsApp or SMS once the system has saved it Host on the night
Change or cancel a booking Moves or cancels after a free-busy check, sends the updated details Nobody
"Does the biryani have nuts?" Any allergy or intolerance Does not answer from memory or guess. Hands the call to staff, or takes a callback number A trained member of staff, with the allergen record in front of them
Takeaway or delivery order Does not take the order. Sends your menu or online ordering link, or hands off if your team takes phone orders Whoever takes orders
Party of 9+, private room, birthday, corporate event Takes the date, the numbers and a callback number, then hands off The manager or events lead
Complaint about a visit or a delivery Does not argue or offer compensation. Hands off, or takes a callback The manager on duty
Supplier, job applicant, sales call Answers what your documents say, takes a message for the right person Whoever you name

When the agent hands over, the call goes into your inbound queues, which route by FIFO, round-robin or longest-idle, with skills-based routing available per queue, so an event enquiry can reach the events lead rather than the bar. If nobody answers within your ring timeout, missed-call recovery plays your own announcement and texts a nominated manager the caller's number. For wording on transfers and hard calls, see our inbound call scripts and AI voice agent human handoff.

Cancellations and no-shows

How does an AI receptionist handle cancellations and no-shows?

Making it easy to cancel

A guest who can cancel in thirty seconds is less likely to simply not turn up. The agent cancels or moves a booking on the call after a free-busy check, and the freed table goes back into what it can offer the next caller. Your cancellation and deposit policy, as you write it in the knowledge base, is what the agent reads out; disputes about a deposit go to the manager.

Reminders before the booking

Appointment reminders go out over SMS, WhatsApp and email on the reminder policy you set, with ICS attachments, and a messages-sent report shows what actually left. You can also run the agent as an outbound reminder campaign against tomorrow's bookings, so guests can confirm or change on a call. Reminders help some guests remember; we do not promise a no-show figure, because it depends on your guests and your policy.

Gulf restaurants

How should a Gulf restaurant set it up for Arabic callers and Ramadan?

In Dubai, Riyadh, Doha, Manama or Kuwait City, the next caller may book in Gulf Arabic, ask about parking in English, or want Hindi or Urdu. The agent handles Arabic as dialects, including Gulf, Levantine and Egyptian, rather than as one flattened language, and works in 10 more languages, 11 in total. Callers who mix Arabic and English are common, so test with your own callers' phrases and judge it by ear.

Ramadan turns the day around. Lunch disappears, the phone peaks in the afternoon as families book iftar, and many restaurants stay open late for suhoor. A practical set-up:

  • Add an iftar sitting and a suhoor sitting to the catalogue, each with its own duration, and release the tables you want booked by phone
  • Put your Ramadan hours, iftar and suhoor times and any set-menu details in the knowledge base, and update them when they change
  • Set Ramadan hours and Eid on the business-hours and holiday calendars, which are per tenant and enforced by schedule gates, so queue calls follow the month
  • Keep the AI receptionist on the number through the iftar break, when your own team is breaking the fast
  • Revert the catalogue and hours after Eid

DialerBee does not calculate iftar or prayer times; you enter the hours. The Ramadan contact center playbook covers staffing and WhatsApp for the month, and the Arabic AI voice agent page explains how to test dialects.

Worked example

How much does an AI receptionist for a restaurant cost?

On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI. It is a usage-billed add-on on the Professional plan ($129 per agent per month) or Enterprise. The seats below are for the people who take handoffs, such as the manager.

Restaurant Calls × length AI minutes at $0.60 Professional seats Total a month Per answered call
One restaurant, normal month 400 × 2 min = 800 min $480 1 × $129 $609 ≈ $1.52
Same restaurant, Ramadan month 900 × 2 min = 1,800 min $1,080 1 × $129 $1,209 ≈ $1.34
Three branches, one number each 1,500 × 2 min = 3,000 min $1,800 3 × $129 $2,187 ≈ $1.46

Restaurant calls are short: "are you open", "table for two at eight", "can I move it to nine". Minutes are billed per started connected minute, so a call of 1 minute 20 seconds counts as 2, which is why every row assumes 2 minutes. The first two rows are the same restaurant: in Ramadan the seat stays the same and only the minutes grow.

To judge it, set it against covers. If the first row's $609 turns calls that would have rung out into a handful of extra tables a week, compare their value with the month's total. Then compare it with an hour of a host's time each evening.

These are examples, not quotes. Carrier minutes are billed by your carrier, taxes are excluded and seats are at monthly prices (annual billing saves 20% on plans). With your own model keys, a flat monthly fee replaces the per-minute AI rate. See pricing and what an AI receptionist costs.

Setup

How do you set up restaurant AI phone answering?

1

Count a week of calls

Tally the calls you get, by hour and by type: bookings, hours and location, menu, allergens, takeaway, events, complaints. The pattern tells you which calls the agent should take and when it matters most.

2

Model your tables

Set up each kind of booking in the service catalogue with its duration and resources, and decide the party size above which the agent hands off instead of booking.

3

Write the knowledge

Hours per branch, Ramadan hours, address and parking, dress code, children, set menus, deposit and cancellation policy. Leave allergen detail out of the agent's answers; write the handoff rule instead.

4

Set the handoff

Choose the queue that receives allergen, event and complaint calls, and who is on it during service. Decide what happens when nobody is free: a callback, and missed-call recovery for the manager.

5

Test it on a busy night

Call in English and in Arabic, book a table for 4, then 12, ask whether a dish contains sesame, ask for takeaway, cancel, and ask for a person twice. Then check the calendar and the WhatsApp message.

You configure the agent's persona, knowledge base, capacity limits and flow in Agent Studio. Versions publish and roll back, and kill switches stop one agent or all AI calling. The full walkthrough: how to set up an AI receptionist. Data handling is on the trust center.

Questions

Restaurant AI receptionist FAQ

What is an AI receptionist for restaurants?
It is an AI voice agent that answers your restaurant's phone number. It books, moves and cancels table reservations against your connected calendar, answers questions about hours, branches, parking and policies from documents you upload, sends a WhatsApp or SMS follow-up with the details or your menu link, and hands allergen, event and complaint calls to staff. On DialerBee it is the AI voice agent, Layla, running alongside queues, CRM push and messaging.
Can an AI receptionist take restaurant reservations?
Yes. It checks free-busy on the connected Google Calendar or Microsoft 365 calendar, then books, reschedules or cancels during the call. Each type of booking in the service catalogue carries its own duration and resources, capacity rules refuse a slot that is already full, and the agent only tells the caller the table is booked once the system has confirmed it. DialerBee does not connect to restaurant reservation platforms, so bookings live in your calendar.
Can it take phone orders for takeaway or delivery?
No. DialerBee's AI receptionist does not take food orders or payments on the call and does not connect to a POS. For takeaway callers it can send your menu or online ordering link by WhatsApp or SMS after the call, or hand the caller to the person who takes phone orders. If phone ordering is most of your call volume, a dedicated ordering product may suit you better.
Will it answer allergen questions?
It should not, and on DialerBee you configure it not to. A wrong answer about nuts, sesame or gluten can hurt someone, and the person who knows today's recipe and kitchen is your staff. The agent hands any allergy or intolerance question to a member of staff, or takes a callback number when nobody is free. Test this rule before you go live.
What happens to large parties and event enquiries?
You set the party size above which the agent stops booking. Above it, the agent takes the date, the number of guests and a callback number, then hands the call to your manager or events team through your inbound queues. Private dining, buyouts, set-menu negotiations and deposits stay with people.
Does it speak Arabic and handle Ramadan hours?
Yes to Arabic: it is handled as dialects, including Gulf, Levantine and Egyptian, and the agent works in 10 more languages, 11 in total. For Ramadan you set the hours yourself: business-hours and holiday calendars are configured per tenant, and your iftar and suhoor hours go in the knowledge base and the catalogue. DialerBee does not calculate iftar times for you.
How much does an AI receptionist for a restaurant cost?
On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI, on a Professional ($129 per agent per month) or Enterprise plan. For example, 400 calls a month at 2 started minutes each is $480 of AI minutes plus one Professional seat, $609 a month. With your own model keys a flat monthly fee replaces the per-minute rate, and carrier minutes are billed by your carrier.
Can I keep my restaurant's phone number?
Yes, if it reaches you over a SIP trunk or PBX: the self-serve trial connects your own trunk or PBX, and the number can then be routed to the AI voice agent. If you would rather not deal with trunks, ask for a demo and we set up the number for you.
