AI Receptionist for Home Services: Plumbers, HVAC, Electricians & Contractors

You can't answer the phone with a blowtorch in one hand. An AI receptionist picks up while you're on a job, sorts the burst pipe from the boiler service, books the visit into the right technician's calendar and texts the customer the details. Gas, smoke and anything you call urgent goes where your rules send it.

Quick answer

What is an AI receptionist for home services? It is an AI voice agent that answers calls for plumbers, HVAC companies, electricians and contractors while they are on a job. It sorts emergencies from routine work using your rules, hands urgent calls to your on-call person, books visits and estimates into technicians' calendars, answers service-area and price questions only from your own documents and catalogue, and texts the booking details. On DialerBee it costs $0.60 per started connected minute plus a Professional seat.

The missed call

Why do plumbers, HVAC companies and electricians miss so many calls?

Because the people who answer the phone are the same people doing the work. A two-person plumbing firm is usually two people with their hands full. The office phone rings in a van parked outside a job, and the call goes to voicemail.

The caller with a leaking boiler or a dead air conditioner does not wait for a callback. They ring the next business on the search results, and whoever answers first usually gets the job. The calls that matter most, the urgent ones, are exactly the ones that will not leave a message and wait.

It gets worse in the busy weeks. The first cold snap or the first heatwave brings a rush of no-heat and no-cooling calls at the moment every technician is already booked. An answering setup that copes in April can fall over in January or July.

An AI receptionist fixes the inbound call nobody was free to take. Chasing open quotes, reminding customers about annual servicing and renewing maintenance plans is the outbound side, covered by the home services dialer and, for lead-driven installers, the solar and home improvement dialer.

What it handles

What can an AI receptionist do for a plumbing, HVAC or electrical business?

The call you can't take from a ladder

Route your business number to the AI voice agent. The caller is answered while you are under a sink, in a loft or on a roof, instead of hearing your voicemail greeting.

Emergency or routine, sorted first

You write the rule: what counts as urgent, what goes to the emergency services line, what can wait for a booked visit. The agent follows it and does not try to diagnose the fault.

Estimates and visits in the right diary

The agent checks free-busy on the connected Google Calendar or Microsoft 365 calendar and books, moves or cancels on the call. Each service in your catalogue carries its own duration, so a boiler service and a full rewire quote do not get the same slot.

Service area questions

Upload the towns, postcodes or ZIP codes you cover, your call-out rules and your opening hours. The agent answers from those documents by semantic search, and says so when an address is outside your list.

Only the prices you set

Only prices in your service catalogue can be spoken. Your call-out fee or a fixed-price service can be quoted; a price you never entered is not invented on the call.

Booking details by SMS or WhatsApp

After the call the agent can send a follow-up by SMS or WhatsApp. Appointment reminders go out over SMS, WhatsApp and email on the policy you set.

Every call leaves a record

Each call's recording, transcript and outcome is pushed to your CRM. So the 21:40 call about a radiator that will not heat up is written down, with the address and what the customer said, before anyone looks at it in the morning. Replies to the SMS or WhatsApp follow-up land in the omnichannel inbox against the same contact.

Emergency triage

How does an AI receptionist tell an emergency from a routine job?

It doesn't work it out for itself. You write the rule and the agent follows it. Here is a starting point. Change it to fit your trade, your on-call cover and your local rules.

What the caller says The AI receptionist Who takes it
Smell of gas, or a carbon monoxide alarm sounding Reads the safety line you approved, telling the caller to contact the gas emergency line or the emergency services now. Gives no other advice and does not book a visit first. The gas utility or the emergency services. Your on-call person afterwards, if you choose.
Smoke, sparks or a burning smell from wiring or an appliance Reads your approved line: contact the emergency services now. No troubleshooting. The emergency services first.
Burst pipe, water coming through a ceiling, sewage backing up Takes the address and a callback number, then hands the call to your on-call person. Your on-call plumber or engineer.
No heat in winter or no cooling in a heatwave Asks the questions you set (for example, is anyone elderly, very young or unwell in the home) and follows your rule: hand off now, or book the first urgent slot. Your on-call technician, or the next free slot, by your rule.
Dripping tap, annual boiler or AC service, a new socket Books a visit into a technician's calendar after a free-busy check, using the duration of that service. The technician on the day.
Estimate for a new system, a bathroom or a rewire Books an estimate visit, records what the job is in the call transcript, sends the booking details by SMS or WhatsApp. Whoever prices the job.
"How much do you charge?" Quotes only what is in your catalogue, such as a call-out fee or a fixed-price service; otherwise offers an estimate visit. You, for anything that needs a site visit to price.
Complaint, warranty or an unhappy customer Does not argue or promise. Hands off, or takes a callback if nobody is free. The owner or office manager.

The safety line is short, and it is yours

For gas, carbon monoxide, smoke or sparks, the agent's only job is to tell the caller to contact the emergency services or their gas utility now. It should not talk them through anything else. Take the wording from the guidance your gas utility or local authority publishes. The Connecticut Public Utilities Regulatory Authority's gas guidance is one example of what that looks like. It tells people to call their gas company from a phone away from the smell, or from a neighbour's home if the odour is strong. This table is general guidance for configuring a phone agent, not safety advice.

Who is on call?

When the agent hands over, the call goes into your inbound queues. Those route by FIFO, round-robin or longest-idle, with skills-based routing available per queue, so an electrical emergency can reach the electrician. The person on call takes it in DialerBee's browser-based agent desktop, a WebRTC softphone in Chrome, Edge or Firefox. If your on-call routine depends on calls ringing a technician's personal mobile, raise it on the demo before you plan around it. More on designing the hand-over: AI voice agent human handoff.

Booking

Can an AI receptionist book jobs into technicians' calendars?

Yes, and the duration is the part most setups get wrong. In DialerBee each service in the catalogue has its own duration, the resources it needs and its price. An estimate for a heat pump, a tap repair and an annual boiler service each take the slot length you set. Capacity rules refuse a booking when a service is full, instead of double-booking a technician.

Before offering a time, the agent checks free-busy on the connected calendar. Google Calendar and Microsoft 365 sync at organisation scope and to each staff member's own calendar, with change notifications coming back. So a job a technician adds from site is not offered on the phone ten minutes later. The agent tells the caller the visit is booked only once the system has confirmed it.

What the customer gets afterwards

  • A follow-up by SMS or WhatsApp after the call, with the booking details you choose to include
  • Reminders before the visit over SMS, WhatsApp and email, with ICS attachments, on the policy you set
  • Replies that come back into the inbox against the same contact
  • A messages-sent report, so you can see what actually went out

See appointments and reminders and WhatsApp and SMS.

Prices and service area

Will an AI receptionist quote prices or promise to come out?

Only what you have given it. Prices come from your service catalogue: if your call-out fee or a fixed-price service is in the catalogue, the agent can quote it. If a price is not there, the agent does not make one up. It can offer an estimate visit instead. Every candidate sentence passes guardrails before it is turned into speech.

Service area works the same way. Upload the towns, postcodes or ZIP codes you cover, your call-out and weekend rules and your opening hours to the knowledge base. A caller just outside your patch hears what your document says, instead of being booked for a visit you will have to cancel.

Keep the catalogue current. An agent answering from last year's price list is worse than one that says "the technician will confirm the price on site".

Nights, weekends, peaks

Does an AI answering service for HVAC work after hours and in peak season?

After hours and weekends

A number routed to the AI voice agent is answered by the agent, within the capacity limits you set, whatever the hour. Routine jobs are booked for the next working day, and urgent ones follow your on-call rule. For numbers that route to a staffed queue, business-hours and holiday calendars are set per tenant and enforced by schedule gates. Out of hours, callers hear your text-to-speech message and an SMS fallback can go out. When a queue call goes unanswered, missed-call recovery plays your own announcement and texts a nominated manager the caller's number.

The first cold snap, the first heatwave

Seasonal peaks are a calendar problem as much as a phone problem. When every technician is booked, the agent offers only slots that are actually free. Capacity rules stop it overfilling a day. Your triage rule decides which no-heat or no-cooling calls jump the queue. Billing follows the minutes, so a busy month costs more and a quiet one less; the worked example below shows both. You set the capacity and governance limits in Agent Studio before the rush, not during it.

Callers who prefer another language are covered too: the agent speaks 11 languages, including English, Spanish and Arabic, with Arabic handled as dialects (Gulf, Levantine, Egyptian).

Worked example

How much does an AI receptionist for plumbers or HVAC cost?

On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI. It is a usage-billed add-on on the Professional plan ($129 per agent per month) or Enterprise. The seats below are for the people who take handoffs.

Business Calls × length AI minutes at $0.60 Professional seats Total a month Per answered call
Solo plumber or electrician 120 × 3 min = 360 min $216 1 × $129 $345 ≈ $2.88
HVAC firm, normal month 400 × 3 min = 1,200 min $720 2 × $129 $978 ≈ $2.45
Same HVAC firm, heatwave month 900 × 3 min = 2,700 min $1,620 2 × $129 $1,878 ≈ $2.09

Trade calls run longer than a salon booking, because the caller is describing a problem and giving an address, which is why every row assumes 3 minutes. Minutes are billed per started connected minute, so a call of 2 minutes 10 seconds counts as 3. The second and third rows are the same firm: the seats stay the same in a heatwave and only the minutes grow, so the cost per answered call goes down.

To judge it, set it against one job. If one emergency call-out or one system replacement estimate that would have gone to voicemail now gets booked, compare that job's value with the month's total.

These are examples, not quotes. Carrier minutes are billed by your carrier, taxes are excluded and seats are at monthly prices (annual billing saves 20% on plans). With your own model keys, a flat monthly fee replaces the per-minute AI rate. See pricing and what an AI receptionist costs.

Comparison

AI receptionist vs answering service vs voicemail vs your own mobile

Most trades start with the last two columns. Here is how the four options compare.

AI receptionist (DialerBee) Human answering service Voicemail The owner's mobile
Who answers while you're on a job The AI voice agent, on the number you route to it A human operator at a third-party service Nobody: the caller hears your greeting You, if your hands are free
Visit or estimate booked during the call Yes, after a free-busy check, with the service's duration Often a message for you to call back, depending on the plan No Yes, if you answer and have the diary with you
Emergency calls Follows your written triage rule; urgent calls handed to your on-call person Follows a script you supply; may page your on-call person Waits until you play your messages Handled well, if you pick up
Prices and service area Only catalogue prices; service area from your documents Usually limited to a script None From memory
Evenings, weekends and holidays Answered on a number routed to the agent, within the capacity limits you set Depends on the plan you pay for Same greeting, every hour Your evening, your weekend
What you have afterwards Recording, transcript and outcome in your CRM, plus SMS or WhatsApp follow-up A message or email summary A voice message, if they left one Notes, if you wrote them
Cost model $0.60 per started connected minute on managed AI, plus a Professional seat Varies: per call, per minute or monthly bundles Usually included with your phone line Your time and the jobs you miss
Best for Routine bookings, estimates, FAQs and the first minute of an urgent call Businesses that want a human voice on every call Nothing time-sensitive Existing customers who already have your number

Choose a human answering service if every caller must hear a person. Keep your mobile number for regular customers and trade partners. Many firms put the AI receptionist on the advertised number and keep both.

Handoff

Which home services calls should go to a person?

Anything where a wrong answer costs someone's safety, your money or your reputation. The agent hands these off as a designed branch of the call, not as a failure. Supervisors can listen, whisper or barge in on the call that follows.

  • Anything involving gas, carbon monoxide, smoke or sparks, after the caller has been told to contact the emergency services or the utility
  • Active water damage, flooding or a sewage backup
  • Pricing a job that needs a site visit, and any discount or exception
  • Diagnosing a fault, or telling the caller whether something is safe to use
  • Complaints, warranty claims and disputes about work already done
  • A caller who asks for a person, and certainly one who asks twice

Setup

How do you set up an AI receptionist for a contractor or trade business?

1

List your call types

Go through the last two weeks of calls and voicemails: emergencies, repairs, servicing, estimates, price questions, complaints. Mark which ones a person must take.

2

Write the triage rule

Decide what is an emergency services matter, what goes to the on-call person and what is booked. Take the wording of any safety line from your utility's or local authority's published guidance, and keep it to that.

3

Build the catalogue

Enter each service with its duration, the resources it needs and its price, if it has a fixed one. Upload your service area, call-out rules and opening hours to the knowledge base.

4

Connect technicians' calendars

Connect Google Calendar or Microsoft 365 at organisation scope and to each technician's own calendar, so a slot taken on site is not offered on the phone.

5

Test it like a customer would

Call with a burst pipe, a gas smell, a no-heat call at 22:00, an address just outside your area and a price you never entered. Ask for a person twice. Then check the diary and the follow-up message.

You configure the agent's persona, knowledge base and flow in Agent Studio. Versions publish and roll back, and kill switches stop one agent or all AI calling. The full walkthrough: how to set up an AI receptionist. Data handling is on the trust center.

Questions

Home services AI receptionist FAQ

What is an AI receptionist for home services?
It is an AI voice agent that answers the phone for a plumbing, HVAC, electrical or contracting business. It sorts emergencies from routine jobs using rules you write, books visits and estimates into your technicians' calendars, answers service-area and price questions from your own documents and catalogue, and sends the booking details by SMS or WhatsApp. On DialerBee it is the AI voice agent, Layla, running alongside queues, CRM push and messaging.
How does it handle emergency calls like a burst pipe or a gas smell?
It follows the triage rule you configure. For a gas smell, a carbon monoxide alarm, smoke or sparks, it reads the safety line you approved, telling the caller to contact the gas emergency line or the emergency services, and gives no other advice. For urgent jobs such as a burst pipe, or no heat or cooling where your rule says so, it takes the address and a callback number and hands the call to your on-call person.
Can it book jobs into my technicians' calendars?
Yes. It checks free-busy on the connected Google Calendar or Microsoft 365 calendar, then books, reschedules or cancels during the call. Each service in your catalogue carries its own duration and the resources it needs, capacity rules refuse a slot that is already full, and the agent only tells the caller a visit is booked once the system has confirmed it.
Will it quote prices to customers?
Only prices that are in your service catalogue can be spoken, such as a call-out fee or a fixed-price service. If a price is not in the catalogue, the agent does not invent one; it can offer an estimate visit instead. Jobs that need a site visit to price stay with you.
What happens to calls at night and at weekends?
A number routed to the AI voice agent is answered by the agent, within the capacity limits you set. For numbers that route to a staffed queue, business-hours and holiday calendars are set per tenant and enforced by schedule gates; out of hours the caller hears your text-to-speech message and an SMS fallback can go out. Decide who is on call for handoffs before you go live.
How much does an AI receptionist for a plumbing or HVAC business cost?
On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI, on a Professional ($129 per agent per month) or Enterprise plan. For example, 400 calls a month at 3 minutes each is $720 of AI minutes; with two Professional seats the month is $978. Carrier minutes are billed by your carrier, and with your own model keys a flat monthly fee replaces the per-minute rate.
Can it send the customer the booking details afterwards?
Yes. After the call the agent can send a follow-up by SMS or WhatsApp, and appointment reminders go out over SMS, WhatsApp and email on the reminder policy you set. Replies come back into the omnichannel inbox.
Can I keep my existing business number?
Yes, if it reaches you over a SIP trunk or PBX: the self-serve trial connects your own trunk or PBX, and the number can then be routed to the AI voice agent. If you would rather not deal with trunks, ask for a demo and we set up the number for you.
