AI Receptionist for Logistics & Couriers: "Where Is My Parcel?" Calls, Handled Honestly

The morning after a big dispatch, the phone fills with the same three questions: where is it, the driver missed me, and what do I pay at the door. An AI receptionist answers the routine ones in Arabic, Urdu, Hindi or English, lets your own tracking system decide where the "where is it" call goes, and passes address changes and claims to your team.

Quick answer

What is an AI receptionist for logistics? It is an AI voice agent that answers a courier's or delivery company's numbers. On DialerBee it answers COD, depot and policy questions from your documents, takes failed-delivery details, and hands address changes and claims to staff. It does not read live tracking itself: an IVR flow in front can query your own tracking system and route the "where is my parcel?" call on the answer. Arabic dialects, Urdu, Hindi and English, at $0.60 per started connected minute.

The phones

Why does a delivery company's customer service line flood?

Because the calls arrive in waves that follow the trucks. When a dispatch goes out, recipients ring to ask when it will arrive. When drivers return with undelivered parcels, the missed-delivery callers start. When a marketplace runs a sale, the next week's calls follow it. Those waves land on the same few agents who also handle claims, business shippers and the parcel that has genuinely gone missing.

Most of the calls in a wave are routine: a status the recipient could have seen online, a question about paying cash at the door, a depot's opening hours. A smaller share needs a person who can open the shipment, verify the caller and decide something. When both kinds queue together, the routine ones crowd out the ones that matter.

An AI receptionist is a way to separate them. It is not a tracking system and it is not a replacement for your customer service team. The calls you place yourself, confirming delivery windows and COD before dispatch and rebooking failed attempts, are the outbound side, covered by the logistics and courier dialer.

What it handles

What can courier customer service AI actually do?

"Where is my parcel?" routed on your data

An IVR flow in front of the agent can call your own tracking service with the HTTP node, or look the caller up with CRM lookup, and route on the answer. The AI voice agent itself does not read tracking data aloud.

Failed-delivery callers

The caller who found a missed-delivery card gives the waybill number and a preferred day. The agent writes it down, hands the call to your redelivery queue or takes a callback, and the outcome is pushed to your CRM.

COD, hours and policy questions

Upload your cash-on-delivery rules, depot hours, collection policy, prohibited items and claims process. The agent answers from those documents by semantic search and nothing else.

Address changes to people

A change of delivery address is handed to your team, who can verify the caller and update the shipment in your own system. The agent does not change addresses.

WhatsApp follow-up

After the call the agent can follow up by WhatsApp or SMS. WhatsApp carries location messages, interactive buttons and lists, so a depot pin or a simple choice sits in the thread.

Arabic, Urdu, Hindi, English

Arabic is handled as dialects, including Gulf, Levantine and Egyptian. The agent also speaks English, Urdu, Hindi and seven more languages, 11 in total.

Every call leaves a record

Each AI call's recording, transcript and outcome is pushed to your CRM, so the 22:10 caller who reported a missed delivery and asked for Saturday is written down before the redelivery team starts. DialerBee's CRM connectors are HubSpot, Salesforce, Zoho, Pipedrive, Zendesk, Microsoft Dynamics, Odoo and Freshworks, using your own CRM app credentials or API key. Replies to the WhatsApp or SMS follow-up land in the omnichannel inbox against the same contact.

Where is my order call automation

Can an AI voice agent tell a caller where their shipment is?

Not by itself, and we would rather say so here than on your first busy morning. The DialerBee AI voice agent does not read tracking, order or CRM fields during the call. What does work today is putting an IVR flow in front of it that asks your own system and routes the caller on the answer.

Step What happens Built with
1. Language select The caller picks Arabic, English, Urdu or Hindi; the rest of the flow runs on the matching voice pack IVR language select node
2. Identify The caller enters the waybill or order number; a smart greeting or CRM lookup can recognise a known caller Smart greeting, CRM lookup
3. Ask your system The flow calls your own tracking service with service authentication and gets an answer back HTTP node
4. Route on the answer For example: delivered → the claims queue; exception or held at depot → the agent who handles exceptions; no record → the AI voice agent to take details Flow logic branches
5. Long queue Offer a WhatsApp thread instead of hold music, or a callback that keeps the caller's place WhatsApp deflect, queue callback
6. Everything else The AI voice agent answers COD, hours and policy questions and takes failed-delivery details AI voice agent (Layla)

An example flow, not a template we ship. The branches depend on the statuses your tracking service returns.

What this gives you

The HTTP node calls your own service with service authentication, and the CRM lookup node pulls the caller's record into the flow. Either can feed the branch that follows, so the decision about where a "where is my parcel?" call goes rests on your data: a delivered parcel can go to claims, an exception to the people who fix exceptions, and a caller with no match to the AI agent to take details. You need a tracking service that answers an authenticated request, and the Professional or Enterprise plan, which carries all 40 node types. If you do not have one, skip step 3 and let the agent take details.

What it is not

This is a routing decision, not a voice reading the tracking timeline aloud. DialerBee has no published integration with a transport management system, a courier platform or an e-commerce store. If you want a caller to hear "out for delivery, arriving between two and five" from live data, scope it with us on the demo and do not rely on it until you have heard it work. The cheapest "where is my parcel" call is still the one that never happens because the recipient already has a good tracking page.

Failed deliveries

How does a delivery company call center AI handle a missed delivery?

It takes the call the moment the recipient rings, while they still have the card in their hand. The agent asks for the waybill number, the day that suits and the best time to reach them, then hands the call to your redelivery queue, or takes a callback when everyone is busy. The details are in the CRM before anyone picks up.

Can it book the redelivery slot itself? Only if your slots fit its booking model. The agent books against Google Calendar or Microsoft 365, using a service catalogue with durations and capacity rules that refuse a slot once it is full. That suits fixed windows such as collection from a counter or a warehouse pickup slot, if you run them on a calendar. Route planning in a dispatch system does not fit, so for most couriers the agent takes the details and a person rebooks.

The other direction, calling recipients after a failed attempt, is an outbound AI campaign against a list you export. That is covered on the logistics dialer page.

Rules to configure for failed deliveries

  • Questions before handing off: waybill number, preferred day, morning or afternoon, a landmark if the address was hard to find
  • Never promise a delivery time; say the redelivery team will confirm
  • Hand off at once if the caller says the parcel was marked delivered but never arrived
  • If nobody in redelivery answers, take a callback and send the depot location by WhatsApp
  • Counter collection, if you run it on a calendar: a booking type with its own duration and capacity

Addresses and cash on delivery

Should an AI change delivery addresses or answer COD questions?

Address changes: no. Redirecting a parcel on the strength of a phone call is how parcels get stolen, so the agent hands the call to your team, who can verify the caller and update the shipment in your own system. The agent's job is to get the caller to the right person quickly, with the waybill number already asked.

COD questions: yes, from what you write. Upload your cash-on-delivery rules, the payment methods drivers accept, what happens when a recipient refuses, and whether they can open the parcel first. The agent answers from those documents by semantic search, and every candidate sentence passes guardrails before it is spoken.

What it will not do is tell a caller the amount due on their parcel, because it does not read the shipment. The price-truth guard means only prices in your service catalogue can be spoken, so if you list a standard domestic rate it can quote it, and a figure that is not in the catalogue is never invented. Taking a payment on the call is not part of it.

After the call

Can the AI follow up on WhatsApp with a location pin?

The agent follows up by WhatsApp or SMS after the call. WhatsApp on DialerBee carries nine message types: text, approved templates, images, video, audio, documents, location, interactive buttons and lists, and reactions.

The depot pin

A location message with the depot or collection point, so the recipient who is coming to collect does not need to ring again for directions.

A tap, not a paragraph

Interactive buttons and lists turn a routine question into a choice, such as morning or afternoon, so it can resolve in the chat without reaching an agent.

Replies in one thread

Replies come back through HMAC-verified webhooks and land against the same contact in the inbox your team already works in.

Inside an IVR flow, the WhatsApp deflect node can also offer a waiting caller a WhatsApp thread instead of hold music. Voice, WhatsApp and SMS share the same consent and suppression records, so an opt-out on one channel applies to the others. Scope the exact follow-up message with us on the demo, including how a customer's own location reply appears for your dispatcher.

Who takes which call

Which courier calls should the AI take, and which go to people?

A starting point for a last-mile courier. Change the queues and names to fit your operation.

What the caller says The AI receptionist Who takes it
"Where is my parcel?" Does not read tracking. The IVR flow routes on your tracking service's answer; otherwise the agent takes the waybill number and hands to a person or takes a callback Customer service, or the exceptions desk
"The driver came while I was out" Takes the waybill number, a preferred day and the best time to call. Hands to redelivery or takes a callback Redelivery or dispatch
"Please deliver to my office instead" Does not change the address. Hands off so your team can verify the caller Customer service
"Do I pay cash or card at the door?" Answers from your written COD rules Nobody, unless the caller asks for a person
"How much will I pay on delivery?" Does not read the amount on a specific shipment. Explains how COD works from your documents and hands off Customer service
"How much to send a parcel to Jeddah?" Speaks a rate only if it is in your service catalogue; otherwise hands to sales Sales or the counter
"Where is your depot? When can I collect?" Answers depot hours and address from your documents; the WhatsApp follow-up can carry the location Nobody
Damaged parcel, lost parcel, a claim Does not promise compensation. Takes the waybill number and hands off Claims
A business shipper asking for a pickup or an account Takes the company, address and volume, then hands to sales or operations Sales or operations

Each queue routes by FIFO, round-robin or longest-idle, with skills-based routing per queue, so a claims call can reach the claims desk rather than the next free agent. If nobody answers a handoff within your ring timeout, missed-call recovery plays your own announcement and texts a nominated manager the caller's number. Gulf couriers

How should a Gulf courier prepare for Arabic, Urdu and Hindi callers, and for peak season?

A courier in Dubai, Riyadh, Doha, Manama or Kuwait City hears Gulf Arabic, English, Urdu and Hindi on the same morning, and plenty of callers mix two of them in one sentence. The agent handles Arabic as dialects, including Gulf, Levantine and Egyptian, and works in English, Urdu, Hindi and seven more languages, 11 in total. Languages outside those 11 should go to a person: an IVR language select node can route those callers to staff who speak them.

Peak weeks such as Ramadan, the run-up to Eid, White Friday and the end-of-year sales bring more orders, more COD and more calls. Plan for them before they start rather than during them.

  • Write COD, depot and collection knowledge in Arabic and English, so each answer is in your words
  • Put Ramadan and Eid depot hours in the knowledge base, and set them on the business-hours and holiday calendars, which are enforced per tenant
  • Set the agent's capacity limits in Agent Studio for the peak, and keep people on the claims and exceptions queues
  • Offer queue callbacks that keep the caller's place, and WhatsApp deflect, instead of a long hold
  • Test the area names, landmarks and waybill formats your callers actually say, in each language
  • Price in local currency: $0.60 per started connected minute is about AED 2.20 or SAR 2.25

Judge every language by ear with your own customers' phrases. The Arabic AI voice agent page explains how to test dialects. Kill switches stop one agent, one campaign or all AI calling if anything sounds wrong.

These recordings are a salon and a clinic, not a courier: listen for how the agent handles Arabic, answers questions from written knowledge and takes a callback request, which is how a failed-delivery call ends, and how it handles a change of plan on a reminder call.

Worked example

How much does an AI receptionist for a courier cost?

On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI. It is a usage-billed add-on on the Professional plan ($129 per agent per month) or Enterprise. The seats below are for the people who take handoffs: customer service, redelivery and claims.

Operation AI calls × length AI minutes at $0.60 Professional seats Total a month Per AI call
Regional courier 1,000 × 2 min = 2,000 min $1,200 2 × $129 $1,458 ≈ $1.46
Last-mile operator, COD-heavy 4,000 × 2 min = 8,000 min $4,800 6 × $129 $5,574 ≈ $1.39
Same operator, peak month 7,000 × 2 min = 14,000 min $8,400 6 × $129 $9,174 ≈ $1.31
After-hours only 500 × 3 min = 1,500 min $900 1 × $129 $1,029 ≈ $2.06

Courier calls are short: a waybill number, a question about COD, a preferred day. So most rows assume 2 started minutes. Minutes are billed per started connected minute, so a call of 1 minute 20 seconds counts as 2. The after-hours row assumes 3 minutes, because evening callers more often report a failed delivery and give details.

The peak row is the second operator in a sale month: 7,000 AI calls at 2 minutes is 14,000 minutes, or $8,400, plus the same six seats, $9,174. The seats do not change because the AI takes the extra routine calls; the cost that rises is the minutes. The count is of calls the AI voice agent actually takes. A call that your IVR flow routes straight to a queue on your tracking data is a call for your team, not an AI call.

These are examples, not quotes. Carrier minutes are billed by your carrier, taxes are excluded and seats are at monthly prices (annual billing saves 20% on plans). With your own model keys, a flat monthly fee replaces the per-minute AI rate. See pricing and what an AI receptionist costs.

A qualitative comparison of operating models, not of named products. Most couriers end up with all three: an IVR that routes on tracking data, the AI on the routine questions, and people on exceptions, claims and address changes. Setup

How do you set up an AI receptionist at a courier company?

1

Tag two weeks of calls

Where is my parcel, failed delivery, address change, COD, depot and collection, rates, claims, business pickups, other. Note the hour and the language. That shows which calls the IVR can route, which the agent can take and which go to people.

2

Decide what your tracking API can answer

If your tracking system has an API, list the statuses it returns and decide which queue each should reach. That becomes the HTTP node and its branches. If it has no API, the agent takes details and hands off.

3

Write the knowledge

COD rules, payment methods at the door, depot addresses and hours, Ramadan and Eid hours, collection rules, prohibited items, claims steps, and any published rates you want spoken, in Arabic and English.

4

Set the handoffs

Queues for customer service, redelivery, claims and sales. Decide who sits on each, what happens when nobody answers, and who gets the missed-call SMS.

5

Test it like a customer

Call in Gulf Arabic, Urdu, Hindi and English. Ask where a parcel is, report a failed delivery, ask to change the address, ask what you pay on delivery, ask for a person twice. Then check the CRM record and the WhatsApp message.

You configure the agent's persona, knowledge base, capacity limits and flow in Agent Studio. Versions publish and roll back, and IVR flows go live as published versions too. The full walkthrough: how to set up an AI receptionist. Data handling is on the trust center.

Questions

Logistics and courier AI receptionist FAQ

What is an AI receptionist for a logistics or courier company?
It is an AI voice agent that answers a courier's or delivery company's phone numbers. It answers COD, depot and policy questions from documents you upload, takes failed-delivery details, hands address changes, claims and exceptions to your team, and follows up by WhatsApp or SMS. Placed behind an IVR flow, the caller can first be routed on your own tracking data. On DialerBee it is the AI voice agent, Layla, inside the same platform as your queues.
Can an AI voice agent tell a caller where their parcel is?
Not on DialerBee today, and we do not claim it. The AI voice agent does not read tracking or CRM fields mid-call. What you can build is an IVR flow in front of it: the caller enters a waybill number, the HTTP node calls your own tracking service with service authentication, or the CRM lookup node finds the caller's record, and the flow routes on the answer, for example straight to the exceptions desk. Otherwise the agent takes the details and hands the call to a person.
Can it rebook a failed delivery?
Usually it takes the details rather than rebooking. The agent books against Google Calendar or Microsoft 365 with a service catalogue and capacity rules, which suits fixed slots such as counter collection or a warehouse pickup window if you run them that way. Most redelivery is planned in a dispatch system, so the agent takes the waybill number and preferred day and hands to redelivery or takes a callback.
Can the AI change a delivery address?
No. A change of address is handed to your team, who can verify the caller and update the shipment in your own system. That is a deliberate design choice: redirecting someone's parcel on the strength of a phone call is a decision for a person.
Will it answer cash-on-delivery questions?
Yes, from what you write. Upload your COD rules, the payment methods drivers accept and what happens if the customer refuses, and the agent answers from those documents by semantic search. It does not read the amount due on a specific shipment, and only prices in your service catalogue can be spoken.
Can it send our depot location on WhatsApp?
WhatsApp on DialerBee carries nine message types, including location, interactive buttons and lists, and the agent can follow up by WhatsApp or SMS after the call. So the depot pin or address can go in the thread, and any reply lands against the same contact in the inbox. Scope the exact follow-up message with us on the demo.
Does it speak Arabic, Urdu and Hindi?
Yes. Arabic is handled as dialects, including Gulf, Levantine and Egyptian, and the agent works in 10 more languages, 11 in total, including English, Urdu and Hindi. Languages outside those 11 should go to a person; an IVR language select node can route them to staff who speak them.
How much does an AI receptionist for a courier cost?
On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI, on a Professional ($129 per agent per month) or Enterprise plan. For example, 4,000 calls a month at 2 started minutes each is $4,800 of AI minutes plus six Professional seats for the people who take handoffs, $5,574 a month. With your own model keys a flat monthly fee replaces the per-minute rate, and carrier minutes are billed by your carrier.
