AI Receptionist for Car Dealerships: Service Bookings, Test Drives & Sales Calls
Monday at 8:00 the service line rings while every advisor is at the write-up desk. An AI receptionist answers, books the service into a bay that is actually free, books the test drive, and passes the sales enquiry and the "is my car ready?" call to the people who can answer them.

Quick answer
What is an AI receptionist for car dealerships? It is an AI voice agent that answers the dealership's numbers. It books service appointments and test drives against your calendars and capacity rules, answers hours, policy and recall questions from your own documents, and hands sales, parts and "is my car ready?" calls to your team. It can also call customers due a service. On DialerBee it speaks Arabic dialects and English, at $0.60 per started connected minute plus a Professional seat.
The phones
Why do dealership service lines miss so many calls?
Because service calls peak when advisors are busiest. Between opening and mid-morning, advisors are checking cars in, walking round vehicles and writing up jobs. Late afternoon they are calling customers about extra work and handing keys back. Those are the same hours people ring to book, to ask about a warning light and to ask whether their car is ready.
Most of those calls are routine: a service booking, opening hours, whether you have a courtesy car. A smaller share needs a person who can see the job, price the fault or talk about a trade-in. The problem is that both kinds arrive at the same desk, and the routine ones crowd out the ones that matter.
An AI receptionist takes the routine calls and passes the rest on with the details already asked. It is not a replacement for your advisors or your BDC. It is the part of their day spent answering the same five questions. Calling leads back, chasing recalls and running CSI surveys is the outbound side, covered by the automotive dialer and the dealership calling guide.
What it handles
What can an AI receptionist do for a car dealership?
Service bookings by bay and technician
The agent checks free-busy on the connected Google Calendar or Microsoft 365 calendar, including each technician's or advisor's own calendar, and books, moves or cancels on the call. Capacity rules refuse a slot that is already full.
Test drives on the sales diary
A test drive is a booking type with its own duration and resources, such as the demo car and a sales consultant's calendar. The agent books it, then sends the time and your showroom location by WhatsApp or SMS.
Sales enquiries to the sales queue
The agent asks which model, new or used, trade-in or not, and when the caller wants to come in, then hands the call to your sales queue or takes a callback. It does not negotiate price or quote finance.
Recall, parts and policy questions from your documents
Upload your hours, loan-car policy, warranty wording and any recall notice you want read out. The agent answers from those documents by semantic search and nothing else.
Only the prices you list
Fixed-price menu services, such as an oil service, can be spoken because they are in your service catalogue. A price that is not in the catalogue is never invented.
Arabic and English, and nine more
Arabic is handled as dialects, including Gulf, Levantine and Egyptian. The agent also speaks English, Hindi, Urdu and seven more languages, 11 in total.
Every call leaves a record
Each AI call's recording, transcript and outcome is pushed to your CRM, so the 19:40 caller who wants a test drive of a used hatchback on Saturday is written down before the sales manager opens the next morning. DialerBee's CRM connectors are HubSpot, Salesforce, Zoho, Pipedrive, Zendesk, Microsoft Dynamics, Odoo and Freshworks, using your own CRM app credentials or API key. Replies to the WhatsApp or SMS follow-up land in the omnichannel inbox against the same contact.
Car service booking AI
How does an AI service advisor know which bay and technician are free?
From your catalogue and your calendars. Each service type in the service catalogue carries its duration, the resources it needs and, if you choose, its price. Before offering a time, the agent checks free-busy on the connected Google Calendar or Microsoft 365 calendar, which syncs at organisation scope and to each staff member's own calendar. Capacity rules refuse a booking once the capacity is full.
| Service type in the catalogue | Duration you set | Resources it holds | Price spoken? | What the agent does |
|---|---|---|---|---|
| Oil and filter service | 60 min | One bay + a technician's calendar | Can be spoken, if you list it | Books it |
| Tyre fitting (4 tyres) | 45 min | Tyre bay | Fitting price only, if you list it | Books it; tyre stock goes to the parts desk |
| Scheduled service (minor / major) | 120 / 240 min | One bay + technician | Menu price, if you list it | Books it, asks about a courtesy car |
| Warning light or noise | Booking slot only | Diagnostic bay | No: the cost depends on the fault | Books a diagnostic slot, or hands to an advisor |
| Recall work | Set by you | One bay + technician | Usually none | Hands to an advisor to confirm the car is affected |
| Test drive | 30 min | Demo car + a sales consultant's calendar | No | Books it, sends the location |
An example set-up, not a recommendation. Use your own labour times.
What the caller hears
The agent asks what the car needs, the make and model if you want them recorded, and which day suits. It offers only the times that are open for that service type. It says the car is booked in only after the system has saved the booking, then sends the date, time and drop-off instructions by WhatsApp or SMS. Reminders go out over SMS, WhatsApp and email on the reminder policy you set, with an ICS attachment.
What it is not
DialerBee books into Google Calendar or Microsoft 365, not into a dealer management system, and no DMS is on its published integration list. It does not decode VINs or map calls to manufacturer op codes. Bring your workshop loading rules to the demo and check that bays, technicians and courtesy cars fit as booking types and resources before you rely on it. If your service diary must live only in the DMS, a DMS-integrated scheduling product may suit you better.
More on the booking side: appointments and reminders.
Job status
Can an AI receptionist answer "is my car ready?"
Not on its own, and it should not pretend to. The DialerBee AI voice agent does not read job or repair-order status from your systems during the call. If it guessed, the customer would turn up for a car still on the ramp. So the agent does what a good receptionist does: takes the name and registration, then hands the call to the service advisor queue, or books a callback when every advisor is busy.
Two things make that handoff better. First, the inbound queue can route by FIFO, round-robin or longest-idle, with skills-based routing per queue, so job-status calls can reach advisors rather than the sales floor. Second, if your workshop system has an API, an IVR flow placed in front of the agent can call it with the IVR builder's HTTP node, using service authentication, and route the caller on the answer, for example straight to the advisor who owns the job. That is a routing decision, not the agent reading the status aloud; scope it with us on the demo.
When the car is ready, your advisor can message the customer on WhatsApp or SMS from the omnichannel inbox, which often removes the call altogether.
Dealership BDC AI
How does an AI handle sales enquiries and test-drive bookings?
It does the first two minutes of a BDC call. The agent asks which model the caller is interested in, new or used, whether there is a trade-in, and when they want to visit. Then it either books a test drive against a sales consultant's calendar or hands the call to your sales queue while the caller is still keen.
It does not check live stock, value a trade-in, quote a monthly payment or negotiate. Those answers change daily and belong to people with the figures in front of them. If a caller asks for a person, the call goes to a person. A supervisor can also listen live and take over a call when needed.
Wording for the handover matters more than most dealers expect. See AI voice agent human handoff.
Sales rules to configure
- Questions to ask before handing off: model, new or used, trade-in, timing
- Test drive: 30 minutes on a sales consultant's calendar, with the demo car as a resource
- Never quote vehicle prices, trade-in values or finance unless you list a price in the catalogue
- Hand off at once if the caller asks for a person or mentions a deposit or an order
- If nobody in sales answers, take a callback and send the showroom location by WhatsApp
Recalls and parts
Can an AI answer recall and parts questions safely?
Only from what you have written down. The agent answers from documents you upload to the knowledge base, retrieved by semantic search, and every candidate sentence passes guardrails before it is spoken. So if you upload the recall notice wording your manufacturer approved, the agent can read the caller what the recall covers and how to book.
What it cannot do is tell a caller that their car is affected. It does not check a VIN against a recall list. Whether a specific car is in scope goes to an advisor, who confirms and books the recall work. Leave out any safety advice you would not want read to a worried owner word for word.
Parts follow the same rule. The agent can say when the parts counter is open and whether you sell to the trade, if you write it. It does not check stock or price parts, because those figures are not in its documents. The price-truth guard means only prices in your service catalogue can be spoken, so a parts price is never invented.
Who takes which call
Which dealership calls should the AI take, and which go to people?
A starting point for a franchise dealer. Change the queues and names to fit your store.
| What the caller says | The AI receptionist | Who takes it |
|---|---|---|
| "Can I book my car in for a service on Tuesday?" | Asks the service type, checks free-busy, books, sends the details once the system has saved it | Nobody, unless the caller asks for a person |
| "Is my car ready?" | Does not read your workshop system. Takes the name and registration and hands to the service advisor queue, or takes a callback | The advisor who owns the job |
| "Is my car affected by the recall?" | Reads only the recall wording you wrote. Does not check a VIN. Hands off to confirm | A service advisor |
| "Do you have the brake pads in stock? How much?" | Answers parts-desk hours from your documents. Does not check stock or price parts | The parts counter |
| "I'm interested in the new SUV" | Asks model, new or used, trade-in, timing. Books a test drive or hands to sales | The sales queue |
| "What will you give me for my car?" "What's the monthly payment?" | Does not value trade-ins or quote finance. Hands to sales or takes a callback | Sales or finance |
| Warranty dispute, comeback, complaint | Does not argue or promise. Hands off, or takes a callback | The service manager |
| "What time do you open on Saturday?" "Do you do collection?" | Answers from your hours and policy documents | Nobody |
If nobody answers a handoff within your ring timeout, missed-call recovery plays your own announcement and texts a nominated manager the caller's number, so the call becomes a callback rather than a lost customer.
Evenings and reminders
What happens after hours, and can the AI call customers due a service?
After hours
Many service bookings are made in the evening, when the owner is home and remembers the warning light. If your service number is routed to the AI voice agent, the evening caller is answered and booked into tomorrow's free slots. If you only want the agent outside opening hours, route an after-hours number to it. Calls that reach a queue while you are closed hear a text-to-speech message in the voice you chose, with an SMS fallback, on business-hours and holiday calendars set per tenant.
Outbound service reminders
Export the customers due a service from your own system, upload the list and run the agent as an outbound AI campaign against it, using the same list and pacing machinery as your human campaigns. The customer can book, move or decline on the call, and the agent can place AI callbacks when asked to ring later. DNC, calling hours, consent and caller-ID ownership are checked at each attempt under the jurisdiction pack for the number called. Kill switches stop one agent, one campaign or all AI calling.
Gulf dealerships
How should a Gulf dealer set it up for Arabic and English callers?
At a dealer in Dubai, Riyadh, Doha, Manama or Kuwait City, the next caller may book a service in Gulf Arabic, name the model in English and give the time in either. The one after may prefer Hindi or Urdu. The agent handles Arabic as dialects, including Gulf, Levantine and Egyptian, rather than as one flattened language, and works in 10 more languages, 11 in total.
- Write service and sales knowledge in both Arabic and English, so the answer is in your words in each
- Put Ramadan service and showroom hours in the knowledge base, and set them, with Eid and national holidays, on the business-hours and holiday calendars
- Test the model names and service names your customers actually say, in both languages
- Send the booking confirmation by WhatsApp, the channel most of your customers open
- Price in local currency: $0.60 per started connected minute is AED 2.20
Judge Arabic by ear with your own customers' phrases. The Arabic AI voice agent page explains how to test dialects.

What does an automotive AI phone answering call sound like?
AI voice agent demo — simulated caller. Layla's replies come from the production model; the callers are synthetic voices and the businesses are fictional. These recordings are a salon and a clinic, not a dealership: listen for how the agent books in Arabic, answers questions and takes a callback, and handles a reminder call that ends in a reschedule, which is how a service reminder works.

Worked example
How much does an AI receptionist for a car dealership cost?
On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI. It is a usage-billed add-on on the Professional plan ($129 per agent per month) or Enterprise. The seats below are for the people who take handoffs: service advisors, sales and the parts counter.
| Dealership | Calls × length | AI minutes at $0.60 | Professional seats | Total a month | Per AI call |
|---|---|---|---|---|---|
| Independent service centre | 600 × 2 min = 1,200 min | $720 | 1 × $129 | $849 | ≈ $1.42 |
| Single-rooftop dealer, service + sales | 1,500 × 3 min = 4,500 min | $2,700 | 3 × $129 | $3,087 | ≈ $2.06 |
| Same dealer, plus an outbound service-reminder campaign | + 800 connected × 2 min = 1,600 min | $3,660 in total | 3 × $129 | $4,047 | ≈ $1.76 |
| After-hours only, one rooftop | 300 × 3 min = 900 min | $540 | 1 × $129 | $669 | ≈ $2.23 |
Service calls run longer than a restaurant booking: the caller describes the car and the fault, picks a day and asks about a courtesy car, so the dealer rows assume 3 started minutes. Minutes are billed per started connected minute, so a call of 2 minutes 10 seconds counts as 3. The reminder row counts only connected calls; a reminder call that is not answered is not a connected minute.
The third row is the second dealer adding 800 connected reminder calls: 4,500 plus 1,600 is 6,100 minutes, or $3,660, plus the same three seats, across 2,300 AI calls. To judge it, set the month's total against the value of the service bookings that would otherwise have rung out, and against the advisor hours spent on routine calls.
These are examples, not quotes. Carrier minutes are billed by your carrier, taxes are excluded and seats are at monthly prices (annual billing saves 20% on plans). With your own model keys, a flat monthly fee replaces the per-minute AI rate. See pricing and what an AI receptionist costs.
Comparison
AI receptionist vs BDC staff vs an answering service
Three ways to answer a dealership's phones, and what each one gives you.
| AI receptionist (DialerBee) | In-house BDC staff | Answering service | |
|---|---|---|---|
| Who answers | The AI voice agent, on the numbers you route to it, within the capacity limits you set | BDC staff on shift, when they are not already on a call | An answering service's operators, from a script |
| Service booking on the call | Yes, against Google Calendar or Microsoft 365, with catalogue durations and capacity rules | Yes, in whatever system your BDC uses | Usually a message for you to book later, unless they have access to your diary |
| "Is my car ready?" | Handed to the advisor; the agent does not read job status | Yes, if they can see the workshop system | Message taken |
| Sales enquiries | Questions asked, test drive booked or call handed to the sales queue | Qualified and booked, often the BDC's main job | Message taken, sometimes a callback booked |
| Prices and recall answers | Only catalogue prices and your written wording | Depends on training and what they remember | Only what the script says |
| Arabic and English | Arabic dialects, including Gulf, plus 10 more languages | Whatever your staff speak | Varies by provider |
| Outside opening hours | Answered on the routed number; bookings still made | Only if you staff evenings and weekends | Yes, if your plan includes it |
| After the call | Recording, transcript and outcome pushed to your CRM | Notes and CRM entries, if someone writes them | An email or message log |
| Cost model | $0.60 per started connected minute on managed AI, plus Professional seats for the people who take handoffs | Salaries, cover for leave, training and turnover | Usually a monthly plan plus per-minute or per-call charges |
| Choose it if | You want service bookings, FAQs and clean handoffs on one number, in Arabic and English | Your volume justifies a team and you want people on every call | You want a human voice and mostly need messages taken |
A qualitative comparison of operating models, not of named products. Many dealers use more than one: the AI on routine service calls and evenings, the BDC on sales follow-up. For a longer comparison read AI receptionist vs IVR vs answering service.
Setup
How do you set up an AI receptionist at a dealership?
Count a fortnight of calls
Tag every call by type: service booking, is my car ready, recall, parts, sales, test drive, complaint, other. Note the hour. That tells you which calls the agent takes and which go straight to people.
Model the workshop
Add each service type to the catalogue with its duration and the resources it holds: a bay, a technician's calendar, a courtesy car. Add test drives with a demo car and a sales consultant's calendar. Set capacity so a full day refuses bookings.
Write the knowledge
Hours for service, sales and parts, Ramadan hours, address and directions, courtesy-car and collection policy, menu-service prices you want spoken, and the exact recall wording your manufacturer approved.
Set the handoffs
One queue for service advisors, one for sales, one for parts. Decide who sits on each, what happens when nobody answers, and who gets the missed-call SMS.
Test it like a customer
Call in English and Gulf Arabic. Book a service on a full day, ask if your car is ready, ask about a recall, ask for a parts price, ask for a trade-in value, ask for a person twice. Then check the calendar, the WhatsApp message and the CRM record.
You configure the agent's persona, knowledge base, capacity limits and flow in Agent Studio. Versions publish and roll back, and kill switches stop one agent or all AI calling. The full walkthrough: how to set up an AI receptionist. Data handling is on the trust center.
