AI Receptionist for Hotels: An AI Front Desk for the Phone
The phone rings while the front desk is checking in a coach party. An AI receptionist answers the hotel number, tells callers about parking and check-in from your own fact sheet, books the spa and the restaurant, and hands reservations, guest requests and complaints to the right person, in Arabic, English and 9 more languages.

Quick answer
What is an AI receptionist for hotels? It is an AI voice agent that answers your hotel's phone number. It answers check-in, parking, transfer and amenity questions from your documents, books spa and restaurant slots against your calendar, and takes reservation enquiries, then hands them to reservations or sends your booking link by WhatsApp. It does not book rooms in your PMS. Guest requests, complaints and emergencies go to staff. On DialerBee it speaks 11 languages, including Arabic dialects, at $0.60 per started connected minute plus a Professional seat.
The front desk
Why does a hotel's phone go unanswered?
Because the people who answer it are also the people standing in front of your guests. The phone rings hardest at the same moments the desk is busiest: the check-out queue in the morning, arrivals in the afternoon, a late flight landing at midnight. A receptionist with a guest at the counter has to choose, and the guest in front of them should win.
Most of those calls are the same questions. What time is check-in? Is there parking? Do you do airport pickups? Is breakfast included? Can I bring the dog? Each one takes a minute, and each one takes the desk away from the person holding a key card.
An AI receptionist takes the phone part of the front desk's job. It is not a replacement for your team and it is not a concierge with local judgement. It answers what your documents answer, books what your calendar allows, and passes everything else to a person. Confirming tomorrow's arrivals and asking for feedback after checkout is the outbound side, covered by the hospitality dialer and our travel and hospitality outbound calling guide.
What it handles
What can an AI front desk for hotels actually do?
The main hotel number
Route your hotel's number to the AI voice agent the same way you would route it to a queue. The caller at check-in time is answered by the agent, not left ringing while the front desk hands out keys.
Reservation enquiries, honestly
The agent takes the dates, the number of guests and the room type, answers from your written room and policy information, then hands the caller to reservations or sends your booking link by WhatsApp.
Check-in, parking, transfers, amenities
Upload your fact sheet: check-in and check-out times, parking, airport transfer, pool and gym hours, breakfast, pets, children. The agent answers from those documents by semantic search.
Spa and restaurant bookings
Treatments and tables live in the service catalogue with their durations and resources. The agent checks free-busy on the connected calendar and books, moves or cancels; capacity rules refuse a full slot.
Guest requests to the right team
A guest who rings about towels, a late check-out or a noisy room is handed to the housekeeping or front desk queue you name, with skills-based routing per queue.
Complaints and emergencies to people
A complaint, a safety concern or anything that sounds like an emergency goes straight to a person. The agent does not argue, compensate or try to solve it.
Every call leaves a record
Each call's recording, transcript and outcome is pushed to your CRM, so the 23:40 enquiry about a family room for Eid is written down with the dates and the caller's number before the morning shift arrives. Replies to the WhatsApp or SMS follow-up land in the omnichannel inbox against the same contact.
Reservation calls
Can a hotel reservation phone AI book rooms?
On DialerBee, no, and it is better to know that before you buy. The agent does not connect to your PMS, channel manager or booking engine, so it cannot see which rooms are free tonight. Here is what it does with a reservation call instead.
| What the caller says | The AI receptionist | What happens next |
|---|---|---|
| "Do you have a room on 12 to 15 March?" | Takes the dates, guests and room type. Does not say a room is free, because it cannot see your room inventory | Hands to the reservations queue, or sends the booking link by WhatsApp |
| "How much is a deluxe room?" | Quotes a price only if it is in your service catalogue, such as a published rack rate. Otherwise it does not invent one | Sends your rate page or booking link; reservations quotes seasonal and group rates |
| "Is breakfast included? Can I cancel?" | Answers from your written rate conditions and cancellation policy | Nobody, unless the caller asks for a person |
| "I have a booking and want to change it" | Does not change room reservations. Takes the name, dates and a callback number | Reservations, in your PMS |
| Group of 10 rooms, a wedding, a conference | Takes the dates, the room count and a callback number | Sales or events |
| "I booked through a travel site" | Explains your policy as written: which changes go through the site and which through you | Reservations, if the caller still needs help |
Rates: only what you have written down
Only prices in your service catalogue can be spoken, and every candidate sentence passes guardrails before it is turned into speech. So the agent will not guess tonight's rate. If you want it to quote a published rack rate or a fixed transfer price, put that price in the catalogue. Seasonal, dynamic, corporate and group rates belong in your booking engine and with your reservations team.
The booking link on WhatsApp
After the call the agent can send a follow-up by WhatsApp or SMS. A WhatsApp message can carry text, a link, a document, images or a location pin, so the caller can receive your booking link, your rate sheet as a PDF and the hotel's location in one thread, and book on your own website. If the caller replies, the reply lands in the inbox against the same contact.
If you want the AI itself to create room reservations, choose a product built on your PMS integration. If you want the phone answered, the facts given right and the booking passed on cleanly, read on.
Spa, dining and transfers
Can an AI concierge phone line book the spa and the restaurant?
Yes, because these bookings live in a calendar rather than in a PMS. Each treatment and each kind of table is set up in the service catalogue with its own duration, the resources it needs and its price. Before offering a time, the agent checks free-busy on the connected Google Calendar or Microsoft 365 calendar, and capacity rules refuse a booking once a therapist, a treatment room or a sitting is full.
The agent tells the guest "your 60-minute massage is booked for 16:00" only once the system has confirmed it, then sends the details by WhatsApp or SMS. It can move or cancel the booking on a later call in the same way. Reminders go out over SMS, WhatsApp and email on the reminder policy you set.
Airport transfers fit the same pattern if you want them to: answer your transfer options from the fact sheet, quote the price if it is in the catalogue, and book it as a service with a car as its resource. Bring your transfer process to the demo and check it fits before relying on it. Restaurant-specific detail, including why allergen questions should go to staff, is on the AI receptionist for restaurants page.
Who takes which call
Which hotel calls should the AI take, and which go to staff?
A starting point. Change the wording, the queues and the names to fit your property.
| What the caller says | The AI receptionist | Who takes it |
|---|---|---|
| "What time is check-in?" "Is parking free?" | Answers from your fact sheet | Nobody |
| "Can you book me a massage at 4?" | Checks free-busy, books against capacity, confirms by WhatsApp or SMS once the system has saved it | Spa team on the day |
| Table in the hotel restaurant | Checks free-busy, books, sends the details | Restaurant host |
| "Can you arrange an airport pickup?" | Answers your transfer options and the price if it is in the catalogue; books it if you set transfers up as a service with capacity | Concierge or front desk for flight changes and exceptions |
| In-house guest: towels, amenities, late check-out | Takes the room number and the request, then hands off | Housekeeping or front desk queue |
| Complaint about a room or a stay | Does not argue or offer compensation. Hands off, or takes a callback | Duty manager |
| Medical problem, fire, flood, a guest in danger | Does not try to handle it. Hands to a person at once | Your on-duty staff, and the emergency services where life is at risk |
| Lost property, invoices, supplier and job calls | Answers what your documents say and takes the details for the right person | Whoever you name |
Guests in the house
When the agent hands over, the call goes into your inbound queues: front desk, housekeeping, reservations, spa. Each queue routes by FIFO, round-robin or longest-idle, with skills-based routing available per queue, and callers can hear their position and estimated wait. Staff can turn the conversation into a ticket in the inbox and track it to resolution. The agent does not see the guest's reservation; it asks for the room number. Calls from room phones on your hotel PBX are a separate set-up to discuss at the demo.
Complaints and emergencies
Write the rule before launch and test it: anything that sounds like a medical problem, fire, flood, a guest in danger or a security concern goes to a person at once, and to the emergency services where life is at risk. Complaints go to the duty manager. If nobody answers within your ring timeout, missed-call recovery plays your own announcement and texts a nominated manager the caller's number.
For transfer wording and when to hand off, see AI voice agent human handoff. Queues, SLA targets and DID routing are on inbound contact center.
Multilingual guests, Gulf seasons
How does a hotel AI handle guests who speak different languages?
A hotel's callers are rarely one nationality. The agent handles Arabic as dialects, including Gulf, Levantine and Egyptian, rather than as one flattened language, and works in 10 more: English, Spanish, French, German, Italian, Turkish, Hindi, Urdu, Portuguese and Indonesian. A caller from Riyadh, a family from Cairo and a tour operator from Milan can each be answered in their own language. Callers who mix Arabic and English are common in the Gulf, so test with your own guests' phrases and judge it by ear.
Gulf hotels also live by the calendar: the peak season, school holidays, Eid and Ramadan each change what callers ask. A practical set-up:
- Keep a season section in the knowledge base: peak-season policies, minimum stays, event weekends, and update it when they change
- For Ramadan, add your iftar and suhoor times, restaurant hours, spa hours and pool hours to the fact sheet, and the iftar sitting to the catalogue
- Set Ramadan hours and the Eid holidays on the business-hours and holiday calendars, which are per tenant and enforced by schedule gates, so queue calls follow the month
- Expect more reservation enquiries before Eid, and make sure the reservations queue is staffed to take the handoffs
- Revert the fact sheet, the catalogue and the hours after Eid
DialerBee does not calculate iftar or prayer times; you enter the hours. The Ramadan contact center playbook covers staffing and WhatsApp for the month, and the Arabic AI voice agent page explains how to test dialects.

What does a hotel AI receptionist sound like on a call?
AI voice agent demo — simulated caller. Layla's replies come from the production model; the callers are synthetic voices and the businesses are fictional. These recordings are a salon and a clinic, not a hotel: listen for how the agent books a treatment in Arabic, answers questions and takes a callback request, and handles a reminder that ends in a change, the same moves a spa booking or a guest enquiry needs.

Worked example
How much does an AI receptionist for a hotel cost?
On DialerBee the AI voice agent is $0.60 per started connected minute on managed AI. It is a usage-billed add-on on the Professional plan ($129 per agent per month) or Enterprise. The seats below are for the staff who take handoffs in DialerBee, such as reservations or the front desk.
| Hotel | Calls × length | AI minutes at $0.60 | Professional seats | Total a month | Per answered call |
|---|---|---|---|---|---|
| Boutique hotel, normal month | 600 × 3 min = 1,800 min | $1,080 | 1 × $129 | $1,209 | ≈ $2.02 |
| Same hotel, peak or Eid month | 1,000 × 3 min = 3,000 min | $1,800 | 1 × $129 | $1,929 | ≈ $1.93 |
| City hotel with spa and restaurant | 1,500 × 3 min = 4,500 min | $2,700 | 3 × $129 | $3,087 | ≈ $2.06 |
Hotel calls run longer than restaurant calls: a guest asks about check-in, then parking, then the transfer, then whether the spa is open on Friday. Minutes are billed per started connected minute, so a call of 2 minutes 10 seconds counts as 3, which is why every row assumes 3 minutes. The first two rows are the same hotel: in a peak or Eid month the seat stays the same and only the minutes grow.
To judge it, set the month's total against the room nights and spa bookings that would otherwise have rung out, and against the desk time it gives back to guests at the counter. The spa and dining bookings the agent makes are in your calendar, so you can count them.
These are examples, not quotes. Carrier minutes are billed by your carrier, taxes are excluded and seats are at monthly prices (annual billing saves 20% on plans). With your own model keys, a flat monthly fee replaces the per-minute AI rate. See pricing and what an AI receptionist costs.
Comparison
AI receptionist vs front-desk staff vs call-center outsourcing vs voicemail
Four ways to answer a hotel's phone, and what each one gives you.
| AI receptionist (DialerBee) | Front-desk staff | Call-center outsourcing | Voicemail | |
|---|---|---|---|---|
| Who answers | The AI voice agent, on the number you route to it, within the capacity limits you set | Whoever is at the desk, between guests in front of them | An operator at a third-party service | Nobody: the caller hears a greeting |
| Reservation enquiry | Details taken, written policy answered, handed to reservations or sent the booking link | Booked in the PMS, if they have time | Usually a message for your team, unless they have PMS access | Waits for a callback |
| Spa and dining bookings | Booked on the call against your calendar and capacity rules | Yes, if someone picks up | Depends on what you give them access to | No |
| Hotel facts (parking, check-in, transfers) | Answered from documents you upload | Answered well, from experience | From a script you supply | None |
| Languages | Arabic dialects, including Gulf, plus 10 more languages | Whatever your shift speaks | Depends on the service and the operator | Your greeting's language |
| After the call | Recording, transcript and outcome in your CRM; WhatsApp or SMS follow-up | Notes, if anyone writes them | A message or email summary | A voice message, if left |
| Cost model | $0.60 per started connected minute on managed AI, plus Professional seats for staff who take handoffs | Staff time at the desk | Varies: per call, per minute or monthly bundles | Usually included with the line |
| Choose it if | You want routine calls answered and spa, dining and guest requests handled on one number | Calls are few and the desk is rarely busy | You want a human voice on every call and can brief an outside team | Never, for the number on your booking confirmation |

Setup
How do you set up hotel AI phone answering?
Sort a week of calls
Tally calls by type: reservation enquiries, booking changes, hotel facts, spa and dining, in-house requests, complaints. Mark the ones only a person should take, and the hours the desk is busiest.
Write the fact sheet
Check-in and check-out, early and late options, parking, airport transfer, breakfast, pool, gym, pets, children, Wi-Fi, cancellation and deposit policy, and the booking link. Keep it current when the season changes.
Decide what the agent may quote
Put only the prices you are happy to have spoken into the service catalogue: spa treatments, a transfer, a published rate. Leave seasonal and dynamic rates to your booking link and reservations team.
Model spa and dining
Set up each treatment and each table type with its duration and resources, and connect Google Calendar or Microsoft 365 so free-busy and capacity rules apply.
Name the queues
Reservations, front desk, housekeeping, spa, duty manager. Choose who sits on each, what counts as an emergency, and what happens when nobody is free: a callback and missed-call recovery.
Test it like a guest
Call in English and in Arabic, ask for a room on dates you are full, ask the price of a suite, book a massage, ask for towels to room 412, complain, and ask for a person twice. Then check the calendar and the WhatsApp message.
You configure the agent's persona, knowledge base, capacity limits and flow in Agent Studio. Versions publish and roll back, and kill switches stop one agent or all AI calling. The full walkthrough: how to set up an AI receptionist. Data handling is on the trust center.
